Who you are
- 3–4 years of experience as an Executive Assistant or in administrative roles, ideally within a high-growth environment
- Proficiency in Google Workspace and a knack for identifying tools that streamline workflows
- The adaptability to thrive in a fast-paced, evolving startup environment
- Strong problem-solving skills, with the ability to anticipate issues and develop creative solutions
- Excellent organizational skills, with the ability to balance proactive planning and reactive support
- Strong written and verbal communication skills
- A self-starter mentality—you know when to take initiative and when to tap into your team for support
- Flexibility to work outside of standard business hours as needed
What the job involves
- We are looking for an exceptional Executive Assistant to join our People team.
- This role will support a few members of our Executive staff, and you will enable seamless operations and serve as a critical communication link across offices as we continue to expand.
- You’ll anticipate the needs of the Executive, leadership, and broader team members, helping the organization stay focused on resolving issues before they arise.
- You move quickly with the changing environment and are up to date with the latest Envoy news, activities, and customer needs.
- In addition to being organized and analytical, you possess the impeccable business judgment and communication skills needed to interact with a variety of people and job functions.
- You get excited about being a strategic partner and serving as a "go-to" for all areas of responsibility. You will have tons of growth opportunities and visibility across the company
- Manage executive calendars, proactively scheduling meetings and resolving conflicts
- Coordinate business travel, including booking flights and accommodations, and submitting expense reports
- Plan and execute team events, meetings, and off-sites
- Greet executive visitors and send Envoy invites to ensure a smooth office arrival experience
- Support special projects as needed
