• 3-6 Years experience in a fast-paced role (e.g., law firm, investment banking, management consulting, high-growth startup). Bonus for excelling in entrepreneurial projects or founding a startup
• Experience in business development & customer implementations
• Outstanding analytical skills (Excel, Google Sheets, or AI-driven analytics platforms) with strong attention to detail
• Comfortable with AI and automation tools (e.g., Zapier, Notion, ChatGPT) and a knack for learning tech quickly
• Familiarity with financial tools (e.g., Moneybird, Exact), contract management
• Soft Skills:

• As Chief of Staff, you’ll be a hands-on partner to our creative, big-picture CEO, driving business development, leading complex customer implementations, and owning lightweight operations, HR, finance, and legal tasks
• Using AI tools, you’ll streamline workflows, support strategic growth in the SaaS document/contract space, and set Docfield up for success
• Complex financial and legal tasks will be supported by external experts (e.g., a fractional CFO or legal counsel)
• Drive expansion into new geographies (e.g., UK) and verticals by identifying and validating growth opportunities, conducting outreach, and setting the stage for sales team success
• Leverage insights from marketing and sales to refine go-to-market strategies for new markets or partnerships
• Lead complex customer implementations (e.g., for large or multi-stakeholder clients), ensuring success and identifying new use cases or growth opportunities within existing accounts to drive retention and expansion
• Build scalable customer success processes, paving the way for future consulting or customer success hires
• Partner with the CEO, providing structure to their visionary leadership by preparing for meetings, drafting agendas, and tracking action items
• Conduct research and validation calls to support business development and go-to-market strategies for new markets or partnerships
• Support the CEO in investor reporting and fundraising efforts, ensuring clear communication and alignment
• Represent the CEO in internal meetings where needed, aligning the team with strategic goals
• Oversee basic financial tasks, including invoicing, expense tracking, and bookkeeping, using tools like Moneybird, GSuite, Excel, and AI tools (e.g., ChatGPT) for streamlined reporting
• Maintain budget dashboards for real-time spending visibility, coordinating with an external CFO for complex financial strategy
• Manage basic legal coordination (e.g., contract tracking, vendor agreements), ensuring proper documentation and handoff to external legal counsel
• Leverage SaaS platform expertise to streamline contract-related workflows internally
• Oversee HR processes, including managing the hiring pipeline (screening candidates, coordinating interviews, and running the hiring process) using ATS tools like Homerun
• Conduct performance reviews, providing structured feedback to support team growth and alignment with company goals
• Run company townhalls, sharing critical updates and fostering a collaborative, growth-oriented culture
• Lead one-off HR projects, such as optimizing reimbursement flows, time-off registration, or office attendance policies
• Build scalable systems and streamline operations using AI-driven tools (e.g., Zapier, Notion AI, ChatGPT) to automate tasks like scheduling, contract tracking, and reporting
• Optimize workflows using Notion and Slack, ensuring seamless communication and task tracking across the team
• Maintain a centralized knowledge base in Notion for contracts, processes, and team documentation
