What the job involves
- As People Operations Team Lead, you report into the VP People
- Your team is the core of the people team as it encapsulates the fundamentals (payroll, admin & compliance) that enable a compliant and smooth scale, as well as key projects that contribute directly to ensure a great experience at Pennylane (France and Europe)
- As a People manager, you are responsible for supporting your team (3 people operations specialists and 1 Workplace manager) throughout their employee journey (onboarding, day-to-day management, career development)
- You are also responsible for the growth, orchestration and development of your team :
- You communicate the company vision and you drive engagement for your team in this context
- You embody and deliver the People Ops team vision & mission and integrate them in day-to-day routines: you are responsible for the Ops Roadmap
- You frame the team’s job, set and share the rules, prioritize, handle the workload and delegate appropriately, in order to secure a positive work environment for your team, as well as targets delivery
- You create career development opportunities for your team and coach individuals towards success
- Audit existing processes and propose an HR operations roadmap to support business challenges and optimize employee satisfaction
- Embody the HR Operations department internally and help managers develop their skills in this area of expertise. Create awareness around the subject of employee experience and Employee Value Proposition
- Pull out and analyse People-related data : for legal reporting purposes (CSE, BDES, Gender parity index, etc.) but also for driving data-driven decision making processes (ie. influence projects prioritization or detect areas for improvement)
- Deploy our first compensation & benefits program with our HR Development Manager : salary grid, tooling, process, automatization, internationalization…
- Be responsible for internationalization ops strategy (opening up new countries, setting up providers Ops…)
- Create the Corporate Social Responsibility (CSR) project
- Be responsible for the administrative management of the training program (invoicing and agreements, collaborator registration and attendance certificates, relations with the OPCO…)
- Deliver high-end HR systems management, supporting our employees from the day they’re hired to the day they leave. This includes managing payroll and benefits, parental leave, HR compliance, reviews tracking tools and accounts, and relationships with external providers
- Secure the best (ie. swift and accurate) employee experience for any employee day-to-day HR queries and requests
- Build and nurture strong collaboration with the People Partners to secure a smooth application of People Ops processes
- Maintenance and optimization of existing tools
- Implementation of new tools as required and in collaboration with the various HR teams
- GDPR HR point of contact
- Organize, facilitate and lead employee relation activities to nurture a peaceful and collaborative social climate with employee representatives with the VP People
- Run regular legal watch to maintain compliance with local employment laws and regulations
- Make sure documentation is in order and available to stakeholders
- Support L1 legal advisory and contribute to further advising, in partnership with our attorneys
- Be in charge of our EVP strategy (employee value proposition)
- Be responsible for maintaining our Head Quarter (We Work) and ensuring employee satisfaction with the various services offered
- Be a driving force behind the improvement of office-related projects
- Design the internal events strategy (onsite and remote) with the workplace manager
- Propose a full remote experience (60% of our workforce)
- Manage and grow a team of 4 people
- Oversee onboarding and offboarding administrative support
- Ensure first level of support to Pennylane employees
- Closely work with other People teams and design processes to ensure smooth collaboration
- Automate and streamline processes leveraging our current tools (mostly Lucca, Figures, Reflect…)
- Ensure we are compliant in all the international regions
- Prepare ad-hoc reports as needed

- A final interview with our COO (30min, in visio)
- We'll also encourage you to meet with your futur team, during a 30min meeting (in office or visio according to your preference)
Our take
In multiple mature markets, companies have been using QuickBooks, Xero and other SaaS solutions for accounting, but it is a fragmented industry with each country using its own software solution. In France, there is no definitive SaaS solution for accounting.
Pennylane wants to overhaul current tools and modernise the tech stack of accounting firms, by connecting directly with third-party services that hold valuable information. Accounting firms can use Pennylane collaboratively by accessing the platform to centralise receipts, create invoices and automate tasks. Instead of sending information back and forth with spreadsheets and photo attachments, both clients and accounting firms can interact directly on the platform.
Pennylane has a significant market opportunity ahead, with an ambitious goal to become the preferred management platform for European companies. The company already claims 50,000 customers. A recent instalment of funding will allow the company to further develop its platform, looking at artificial intelligence for accountants, and expand to other markets in Europe.
