- We are currently seeking a dedicated Facilities Coordinator to join our team at Transport Exchange Group. Reporting into our Senior Business Partner, Development, Reward & Workplace, you will be responsible for providing diverse facilities management and central administrative services to support the business, its employees, and visitors
What the job involves
- Strong prioritisation skills, with the ability to multi-task, manage deadlines, and adapt quickly in a fast-paced environment
- Collaborate with internal and external stakeholders, including service providers, to deliver a facilities management service to all company offices
- Ensure Health & Safety compliance with best practice principles
- Deliver a centralised administrative and business support service across the organisation
- Facilities Management: Assist in delivering effective facilities management services efficiently and within budget. Day-to-day supervision of third-party suppliers and contractors, including monitoring service provider quality levels. Procurement of FM services and supplies
- Health & Safety: Ensure policies and procedures are properly implemented to comply with health and safety regulations and relevant law. H&S coordination including carrying out or arranging office and fire risk assessments, DSE – Workstation assessments, work from home risk assessments, PAT testing, and fire evacuation procedures. Maintaining compliance in First Aid and Fire Safety including appointing and arranging training for First Aiders and Fire Wardens / Marshalls, maintaining supplies, conducting fire drills
- Central Administration / Business Support: Creating and maintaining the contracts / suppliers register. Assisting with the management of supplier contracts / agreements: recording details, renewals, terminations, and maintenance of the contracts management database. Maintaining the company database filing system for NDAs and MCAs. Support and coordinate the management of the company insurances. Provide support for travel and hotel bookings
