Who you are
- This role demands exceptional organizational skills, keen attention to detail, and the ability to manage multiple priorities both on strategic and tactical level
- You have at least 7+ years of proven experience as an Executive Assistant or in a similar administrative role
- You have excellent organizational, time management, and multitasking skills
- You have strong attention to detail and problem-solving skills
- You have the ability to handle sensitive information with discretion and maintain confidentiality
- You are able to work independently and as part of a team
- You work well under pressure, meeting deadlines while staying calm and organized
- You have strong written and verbal communication skills in both English and German
What the job involves
- The Executive Assistant will be a strategic support to our CEO and COO, ensuring efficient operations and communication within the organization
- Manage the calendars for the CEO and COO, including scheduling meetings and coordinating appointments
- Screen and prioritize incoming communications, such as emails, calls, and correspondence, ensuring timely responses
- Prepare and edit documents, reports, presentations, and other materials as needed
- Organize and maintain confidential files, records, and documentation
- Arrange travel arrangements, including booking flights, accommodations, and ground transportation
- Handle expense reporting and other financial tasks related to the executive office
- Assist in the preparation and coordination of meetings, including logistics, agenda preparation and follow-up on action items
- Automate tasks and processes to enhance efficiency in daily operations
- Support special projects and initiatives as assigned by the CEO and COO
- Act as a liaison between the executive office and internal/external stakeholders, maintaining effective communication on behalf of the CEO and COO
