Who you are
- We are seeking an experienced Executive Assistant with 4-5 years of proven expertise in supporting C-Level executives
- The successful candidate will be adept at managing complex calendars, arranging extensive travel, coordinating high-level meetings, and handling confidential information with discretion and professionalism
- This role requires exceptional organizational abilities, strong communication skills, and the ability to thrive in a fast-paced environment
- Over 5 years’ experience as an Executive Assistant supporting multiple SVP-level executives in a fast-paced tech environment
- Bachelor’s degree or equivalent experience preferred, with strong organizational and multitasking skills
- Proven ability to manage complex calendars and travel arrangements with great attention to detail
- Excellent written and verbal communication skills, with professionalism across all organizational levels
- Proficient in Google Office, Microsoft Office Suite, and other relevant software; able to maintain confidentiality and adapt to changing priorities
What the job involves
- Manage and maintain complex calendars for multiple SVP-level executives, including scheduling and rescheduling meetings and events
- Coordinate travel logistics for senior executives, covering accommodations, transportation, and meals, while ensuring cost-effectiveness and policy compliance
- Prepare and organize materials for meetings, presentations, and conferences, such as agendas and supporting documents
- Serve as a primary contact for internal and external stakeholders, facilitating communication between executives and departments
- Plan and execute logistics for onsite and offsite meetings, events, and conferences, including catering, audiovisual setup, and attendee coordination
- Assist with special projects, handle confidential information with discretion, and provide general administrative support like managing expense reports and invoices
