Who you are
- 1-2 years of experience as a Receptionist, Front Office Representative in the hospitality industry or a similar role
- Multitasking and time-management skills, with the ability to prioritize tasks
- Ability to be resourceful and proactive when issues arise
- Knowledge of Google Suite
- Strong communication skills
- Full professional proficiency in German And English
What the job involves
- As the Office Assistant, you are the main contact for visitors to Productsup. You will maintain our front desk on a daily basis and perform a variety of administrative and clerical tasks with the primary goal of customer satisfaction
- In your first 3 months you will;
- Provide coverage for the front desk. You will receive, greet and direct people, calls, issues, and deliveries to the appropriate department or employee with a warm and professional demeanor
- Ensure our office and front desk runs smoothly by keeping it tidy and ordering office/kitchen supplies when necessary
- Maintain office security by following safety procedures and controlling access via the reception desk
- Assist with various administrative tasks, including file organization, invoice management and document preparation
- Oversee the work schedule of our contractors e.g. cleaning service
- Be responsible for mail/parcel sorting and distribution to the appropriate recipients (both locally and internationally)
- Prepare meeting rooms for our staff and external guests
- In your first 6 months and beyond you will;
- Ensure our office runs smoothly by maintaining good relationships with all internal and external stakeholders such as the building caretaker, property management, IT, cleaning service, suppliers, landlords, neighbors, etc
- Bring in new ideas to create structured processes and workflows within office management
- Ensure our new office space will be a place where people love to come to
