Role
Who you are
- A polished, detail-oriented operator with 8+ years of experience supporting C-suite or senior executives, ideally in a fast-paced tech or startup environment
- Adaptable, versatile and excellent at wearing multiple hats, juggling multiple priorities while maintaining a calm, solution-oriented mindset
- Known for seeing around corners - you anticipate needs and solve problems before they escalate
- Discreet and trustworthy when handling sensitive information
- Strong written and verbal communicator who can interface confidently across all levels of the organization
- Highly organized, resourceful and meticulous in everything you do
- Reliable and the go-to person who consistently stays on top of everything, from daily tasks to unexpected challenges
- Energized by being in the office 4 days/week, starting the day at 8am to support both executives and team culture
What the job involves
- In this role, you’ll be a trusted partner to our execs, anticipating needs before they arise and making sure the rhythm of the business runs smoothly
- You’ll also be the go-to person in the office, keeping things organized, efficient, and welcoming for the whole team
- From calendars and travel to events and office vibes, you’ll help create a seamless experience that fuels both productivity and culture
- Your in-person presence helps keep things running smoothly and the team feeling connected
- Provide high-level administrative support to three senior executives, managing schedules, meeting cadence, travel, and communications with discretion and efficiency
- Anticipate needs and challenges before they arise, ensuring the executives’ time is aligned with top priorities
- Support the broader business by managing key touchpoints: coordinating cross-functional meetings, tracking follow-ups, and supporting planning cycles
- Partner closely with internal stakeholders to drive alignment across teams and initiatives
- Own daily office operations: vendor management, supplies, guest experience, and general support to create a seamless in-office environment
- Maintain a clean, organized and professional office environment, ensuring communal areas and workspaces reflect high workplace standards
- Contribute to initiatives and projects within the Workplace Experience team that require cross-functional collaboration with global team members
- Plan and coordinate office activities and events that foster employee engagement and enhance workplace culture
- Assist with preparation for company-wide events, leadership offsites, board meetings and team moments for the executives you support
Our take
Smartly.io helps advertisers automate their campaigns across the largest media platforms, including Facebook, Instagram, TikTok, and Pinterest. After seeing quick success following Facebook’s 2012 IPO, the company now works with over 700 brands including eBay, Uber, Ralph Lauren, Under Armour, and TechStyle.
Its suite of tools automatically creates ads and videos from product images, handling budget allocation, audience targeting, and where and when to purchase advertising. Consequently, Smartly.io has positioned itself to play a leading role in a market where brand and performance work are converging.
Smartly.io sold a majority stake to Providence Equity Partners in 2019 in a move to further its presence in the US. The company has since gone on to make several acquisitions of its own with Viralspace.ai and Ad-Lib.io. Smartly.io's ability to adapt to evolving social media advertising trends has it well set to see continued growth.
