- Outstanding calendar management skills with experience supporting multiple executives
- Experience with expense management and booking executive travel systems
- Exceptional attention to detail and follow-through
- Strong written and verbal communication abilities
- Proficiency with Google Workspace and Slack
- Track record of high fidelity, high integrity decision making
- Proven ability to handle confidential information with discretion and care
What the job involves
- We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to three executives in our New York office
- This role primarily focuses on delivering exceptional administrative support and providing support to teams the executives lead
- This role will report directly to the Head of People, US
- Manage calendars for three C-Suite executives coordinating internal and external meetings with a high level of professionalism
- Process expense reports, receipts, and reimbursements with accuracy and timeliness
- Coordinate logistics for business travel including flights, accommodations, ground transportation, and itineraries for the executives and on rare occasions, members of their team
- Coordinate and prepare for client meetings held by the executives and their team to ensure a seamless experience for our clients and partners when they are on site
- Coordinate team meetings and off-sites for the executives they support, including agendas and follow-up notes
- Help executives stay organized and on schedule during busy periods
- Support with People Team initiatives from time to time as requested including special projects and event coordination
