Role
Who you are
- Previous experience in healthcare administration, clinical coordination or a similar patient-facing role preferred
- Strong organisational skills with a meticulous eye for detail
- Excellent written and verbal communication skills
- Compassionate and patient-centred approach to care
- Confident using Microsoft Office, Google Workspace, and tools such as Asana, Teams, and Help Scout (training provided)
- Able to manage multiple priorities calmly and effectively in a fast-paced, remote working environment
What the job involves
- Respond to patient queries via email and phone in a timely, professional, and empathetic manner
- Liaise with external GP practices and healthcare providers to obtain and verify medical records, ensuring all patient documentation is accurate, complete, and securely maintained
- Prepare and process discharge letters in line with clinic protocols
- Raise and log patient queries, escalating as appropriate to clinicians or the Patient Experience Manager
- Coordinate with administrative staff to ensure seamless communication and timely task completion
- Assist in onboarding new patients, including collecting medical documentation, liaising with GP surgeries, and scheduling consultant appointments.
- Conduct pre-appointment checks to verify clinicians are booked for the correct appointment types
- Manage and process repeat prescriptions in line with clinic policy
- Prepare patient travel letters and documentation as requested by patients or clinicians
- Manage patient consent forms, ID verification, and address confirmation processes
- Ensure timely follow-up appointments and repeat prescriptions for existing patients.
- Maintain patient confidentiality and compliance with data protection regulations at all times (GDPR and CQC standards)
- Follow internal SOPs and contribute to updates when processes evolve
- Support quality assurance processes and accurate record-keeping for audits and compliance reporting.
- Support the pharmacy and clinical teams by assisting with retrospective triage tasks and obtaining up-to-date Summary Care Records (SCRs)
- Collaborate across departments to improve communication and efficiency
- Participate in quality improvement initiatives and contribute to process enhancement projects
- Share feedback from patients and staff to help shape service development
