Role
Who you are
- Minimum 1-2 years experience in an office management, administrative, or team coordination role, ideally within a tech or data-driven environment
- Excellent organisational and multitasking abilities with a keen attention to detail
- Adaptable and proactive, quick to prioritise and adjust with changing needs
- Strong interpersonal skills, a positive attitude
- Ability to work independently and as part of a team in a fast-paced environment
- Proficiency in Google suite and Notion is desirable
What the job involves
- Assist key team members with diary management, organising meetings and events, and tracking action items
- Assist Chief of Staff to plan and coordinate team events, workshops, and meetings to foster team collaboration and morale
- Support onboarding of new employees, including equipment provision, account setups and toolkits for a seamless start
- Manage team travel arrangements for key personnel
- Prepare reports, presentations, and other documentation as required
- Ensure that all team activities and operations are in full compliance with the guidelines and practices outlined in the employee handbook
- Manage and organise office operations and procedures, ensuring a tidy, safe and efficient workspace for employees and visitors
- Coordinate with IT and facilities to ensure seamless equipment and resource availability for staff
- Oversee and liaise with vendors for office supplies and equipment
- Handle mail, deliveries, and distribution of documents as required
- Coordinate in person office events and meetings, including room reservations, catering arrangements, and audio visual setup
- Coordinate office moves and reconfigurations as required
