Who you are

Bachelor of business administration / related field desired OR a minimum of 3 years relevant experience in a fast paced office environment
Minimum of 3 years experience working in a similar busy operations administration or coordinator role in an office environment
Proficient with Google suite and strong Google Sheets experience (alternatively experience with Microsoft Office with the ability to adapt quickly to new software)
Excellent communication skills
Diligent, hard-working and takes end to end ownership of tasks
Excellent time management and organizational skills with the ability to multitask and prioritize independently
Ability and willingness to work on own initiative and as part of a team
Works well under pressure, especially within a strict deadline-orientated environment

What the job involves

This role is at the heart of keeping Deciphex running smoothly every day
As the first point of contact for all office-related queries, you’ll play a vital part in ensuring that our people can focus on their work, knowing that the office environment and its operations are in safe hands
From managing logistics, travel, and expenses to coordinating meetings and events, you’ll be directly supporting the efficiency and culture of our growing company
Your work will touch every part of the business—whether it’s welcoming new employees and setting them up for success, collaborating with Finance and HR to maintain clear processes, or ensuring our teams have the tools and resources they need
By creating a seamless, well-organized workplace, you’ll help foster an environment where our people can do their best work and where new ideas and innovation can thrive
Act as the main point of contact for all office related queries, liaise with facilities management and take a hands on approach in order to ensure smooth running of the office day to day
Manage the incoming and outgoing post and local/ international deliveries
Make general purchases for the company in line with the purchasing policy
Coordination of regular meetings & events, company related travel and related logistics
Support with expense reporting and related queries, working closely with the Finance & HR teams on travel and expense policy
Supporting the onboarding of new employees to Deciphex including arranging new starter packs for shipment, coordinating merchandise deliveries etc
Manage the main office phone line, responding to and redirecting incoming calls in a professional and timely manner
Support employee engagement initiatives and company culture activities as required, working closely with HR
Other general administration duties that may arise from time to time
Complete all mandatory company training and job specific training required for the role, including ISMS, GLP, DocuSign, as applicable

Our take

Pathologists are the core of diagnostics, but face increasing pressure as diagnostic complexity increases and the number of pathologists is in decline. This systemic strain means turnaround times for diagnoses are longer, and the chance of diagnostic error is higher. Deciphex is looking to address this with a regulated non-clinical pathology platform.

Deciphex has institutional and headline support, has collaborated with AstraZeneca and Janssen, and participates in a research program with pharmaceutical company Charles River. Reports suggest the platform has seen impressive uptake in the preclinical sector, so in spite of being relatively young, this specialist niche is in high demand.

This all means Deciphex is in a strong position to keep expanding its suite of tools and platforms. Its 2025 round of funding will support expansion across the US, UK, EU, Canada, and Japan. The company is also looking to enhance its capabilities, strengthen existing partnerships and broaden the type of customer it serves.
