Who you are
- The ideal candidate will thrive in a fast-paced environment, be highly organized, and have a strong understanding of the tech and/or data security landscape
- Previous experience as an Executive Assistant, Personal Assistant, or similar role, preferably within a tech start-up or fast-paced environment
- Proficient in Microsoft Office, Google Suite, and project management tools (e.g., Asana, Trello). Experience with expense management software is a plus
- Terrific communication skills – written and verbal - with the ability to represent the executives professionally
- Exceptional organizational skills, with the ability to manage multiple priorities and deadlines
- A proactive approach to identifying issues and offering creative, timely solutions
- Team player who is trustworthy with the ability to handle sensitive information with the utmost confidentiality and discretion
- Fast learner who thrives in a fast-paced environment and is comfortable adjusting to changing priorities

What the job involves
- We are seeking an Executive Assistant to provide support to various members of leadership
- This role will be pivotal in ensuring that the executives' schedules, priorities, and communications are efficiently managed, allowing them to focus on strategic initiatives and business growth
- Manage and optimize the extremely active daily schedules, including coordinating meetings, conferences, and travel arrangements (both domestic and international)
- Provide administrative support to the leadership team, such as handling office correspondence, drafting emails, and managing calendar invites
- Act as the primary point of contact between the executives and internal/external stakeholders, ensuring smooth communication flow
- Prioritize and track deadlines, key initiatives, and business goals, ensuring timely follow-ups
- Handle confidential information with discretion and professionalism
- Prepare agendas, presentations, and materials for executive meetings, ensuring all attendees are briefed and prepared
- Take detailed meeting minutes and track action items, ensuring timely execution by responsible parties
- Assist in the planning and execution of team meetings, offsites, and company events as needed
- Arrange complex travel itineraries and accommodations for both executives, ensuring cost-effectiveness and comfort
- Process expense reports and manage reimbursement submissions in a timely manner
- Maintain a filing system for digital and physical documents, ensuring easy access to important materials
