Role
Who you are
- Proven experience as an Executive Assistant in a tech company or similar role, preferably supporting C-suite executives in a fast-paced environment.-
- Strong communication skills, both written and verbal, with the ability to interact confidently with stakeholders at all levels.- Discretion and confidentiality in handling sensitive information and executive correspondence
- Flexibility to work 3-4 days office-based in London, 40 hours per week
- Proficiency in Microsoft Office Suite and calendar management software
- Exceptional organisational skills with the ability to prioritise tasks and manage competing deadlines effectively
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
- Proficiency with office productivity tools and an aptitude for learning new software and systems
- Flexible team player, willing to adapt to changes and eager to take on new challenges
- Ability to maintain confidentiality of information related to the company and its employees
What the job involves
- Working with: Executive team (CEO, COO, CFO, CSO)
- Diary Management:
- Efficiently manage the diaries of the CEO and Executive Team, including scheduling meetings, appointments, and conference calls
- Coordinate with internal and external stakeholders to ensure optimal use of time and prioritise commitments
- Travel Coordination:
- Arrange complex travel itineraries, including flights, accommodation, and ground transportation, for the CEO and Executive Team
- Anticipate and resolve any travel-related issues or changes in a timely manner
- Event Organisation:
- Plan and execute internal and external events, such as team meetings, client visits, and industry conferences, in coordination with the SLT
- Coordinate logistics, venue booking, catering, and other arrangements to ensure successful event execution
- Administrative Support:
- Provide administrative support to the CEO and Executive Team, including drafting correspondence, preparing presentations, and handling confidential information with discretion
- Assist with ad-hoc projects and tasks as required, demonstrating flexibility and willingness to contribute to the overall success of the team
- Communication Liaison:
- Serve as a primary point of contact for internal and external stakeholders, demonstrating professionalism and responsiveness in all interactions
- Facilitate communication between the CEO, Executive Team, and other departments within the organisation
- Board Meeting Support:
- Attend board meetings and accurately record minutes
- Create action lists based on meeting discussions and ensure timely completion of action items
