Who you are
- Proven experience as an Executive Assistant, Office Manager, or in a similar administrative role
- Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively
- Excellent verbal and written communication skills
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools like Slack, Zoom, and project management software
- Discretion and confidentiality when dealing with sensitive information
- A proactive and resourceful attitude with problem-solving abilities
- Detail-oriented with a high degree of accuracy
- Collaborative team player with a customer service mindset

What the job involves
- We are seeking a highly organized and proactive individual to serve as the Executive Assistant to our leadership team while managing day-to-day office operations
- This dual role is critical to ensuring the smooth functioning of executive activities and creating a productive and welcoming office environment
- Provide high-level administrative support to the leadership team, including scheduling, calendar management, and meeting coordination
- Prepare meeting agendas, materials, and minutes, ensuring all follow-ups are documented and addressed
- Manage travel arrangements, including flights, accommodations, and itineraries, ensuring alignment with executives' preferences
- Handle sensitive and confidential information with discretion and professionalism
- Act as a liaison between the leadership team and internal/external stakeholders
- Draft and proofread correspondence, presentations, and reports
- Assist with special projects and initiatives as assigned by the leadership team
- Oversee office operations, ensuring a clean, organized, and functional workspace for all employees
- Manage office supply inventory and coordinate with vendors for orders, repairs, and maintenance
- Plan and execute company events, meetings, and team-building activities
- Maintain facilities and liaise with property management as needed
- Manage office snacks & lunch perks
- Manage incoming and outgoing mail and deliveries
- Handle expense tracking and budget monitoring for office-related expenditures
- This role is based in-office and may require occasional overtime to support key events or deadlines
