Who you are

Previous experience in an office or a finance administrator position
Practical experience with accounting software, spreadsheets and databases with ability to quickly learn and adapt to new software and processes
A solid understanding of bookkeeping procedures including crediting and debiting appropriate accounts, posting entries and reconciling accounts
Able to multi-task and work under pressure to tight deadlines with changing demands and priorities, whilst maintaining attention to detail
Ability to keep the highest standards of compliance and confidentiality
Good organisational and time management skills
Good communicator and able to work effectively within a team to get things done
Great attention to detail and see things through to completion

What the job involves

Be responsible for the day to day running of the office, including facilities management, maintaining kitchen and office supplies, liaising with our landlord and managing internal office communications
Resolve administrative and IT problems and address any issues or concerns raised by staff members
Provide basic tech support, setting up laptops for new joiners, initial troubleshooting of IT issues and asset management
Maintain Health & Safety processes and Fire Safety within the office
Support the procurement and operations team with administrative tasks which will include fulfilling any office related purchases, raising purchase orders, uploading VAT invoices and any other ad hoc tasks
Manage travel and accommodation booking for the Sunswap team
Perform regular stocktaking of office consumables ensuring that supplies are kept topped up
Oversee the receipt and dispatch of office deliveries
Assist with financial administrative tasks which will include managing accounts receivable and payable, staff expenses, checking supporting documents and maintaining short term cash forecasts
Resolve account discrepancies and perform account reconciliations
Stay up to date with all applicable regulations, requirements, and laws
