- This role is ideal for someone who thrives in a remote-first, technology-driven environment, is a creative thinker and who enjoys making complex schedules, projects and events run seamlessly
- Proven experience as an EA, PA (or similar role) supporting senior leadership
- Excellent organisational skills with attention to detail
- Confidence using Google Workspace, Slack and other remote collaboration tools
- Excellent written and verbal communication skills. The role requires dealing with senior client contacts with top-tier companies such as broadcasters, technological organisations and partners in locations around the globe, as well as our investor stakeholders
- Discretion and professionalism when handling sensitive information
- A proactive, adaptable mindset with the ability to anticipate needs and a solution-focussed mentality
Desirable
- Experience in a fully remote company
- Experience organising international travel and event coordination
- Experience managing a CRM system (we currently use Pipedrive)
- Location in or close to Yorkshire for occasional in-person meetings
What the job involves

- We’re looking for a tech-savvy Executive Assistant to join our growing team and provide high-level support to the CEO, while also assisting the wider C-Suite
- You’ll be the go-to person for organisation, communication and coordination, ensuring leadership can focus on strategy while you handle the details
- From managing calendars and travel to planning company meet-ups and global trade shows, you’ll be a key partner in helping the business run smoothly
- This role isn’t about checking off a list of tasks set by the CEO, it’s about understanding and preempting needs. For example, if the CEO is travelling internationally, not just booking the flight but thinking about everything that needs to happen before, during and after the trip
- The role is also what you make it. As a small company with currently 30+ people, everyone has to wear multiple hats at times, but we also want to grow the role around the person (not the person around the role)
- If you can help by researching, drafting documents or planning wider events then there’s definitely the scope for that
- Own and manage the CEO’s calendar, inbox and scheduling in Google Workspace
- Prioritise and filter communications, ensuring the CEO’s time is used effectively
- Coordinate internal and external meetings, preparing agendas, notes and action follow-ups
- Provide operational and project support across strategic initiatives
- Assist with personal diary management
- Enable the CEO to focus on the business rather than admin, making sure the information or items needed are served up at the right time and place
- Assist senior leaders with diary management, logistics and travel bookings
- Help prepare and distribute board packs, minutes and presentations
- Facilitate collaboration across the teams, ensuring communication flows smoothly
- Plan and coordinate team offsites, strategy days and company meet-ups
- Organise UK and international travel for trade shows, conferences and events
- Work with the team to manage vendors, suppliers and budgets for event delivery
- Maintain accurate digital records and shared files
- Support the wider team with ad hoc administrative and operational tasks
- Assist the wider Management team with ad hoc duties as required
- Help run logistics and travel arrangements for the whole team where necessary (e.g. for company meet-ups, smaller team meet-ups)
- Identify opportunities to streamline processes and improve ways of working
Our take
With products focused on video, image, and audio content, Ad Signal is utilising AI to help businesses manage their content. Their solutions help content creators find assets quicker, saving them time, as well as identifying duplicates and removing them. They can also apply metadata to content, helping to organise libraries of content and archives.
With large clients such as Sky and Clearcast, it’s clear they are solving a problem in the TV advertising industry.
Ad Signal also has a sustainability angle, claiming to reduce companies' carbon footprint by reducing their need for large data storage centers.
