Who you are
- This role requires exceptional judgment, the ability to manage sensitive information, and the agility to pivot quickly in a fast-paced, high-growth environment
- 3+ years of experience as an Executive Assistant supporting C-suite executives, ideally in a technology, SaaS, or automation-focused company
- Proven ability to thrive in a fast-paced, high-growth environment
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication abilities
- High level of discretion and professionalism
- Proficiency in digital workplace and collaboration platforms such as Google Workspace, Notion and Slack
- Ability to interpret and understand financial reports, sales metrics, and operational dashboards is a plus
What the job involves
- We are seeking a highly organized, resourceful, and proactive Executive Assistant to provide high-level administrative and operational support to two C-suite executives
- The right candidate will be a strategic partner helping to anticipate needs, streamline operations, and ensure our executive leaders can focus on driving growth and operational excellence
- Manage complex calendars, schedule internal and external meetings, and coordinate across time zones
- Take meeting notes as requested, follow up on action items, and ensure deadlines are met across multiple priorities
- Handle confidential information with discretion and professionalism
- Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld
- Collect receipts and invoices and prepare expense reports on Navan
- Serve as the point of contact between executives and internal/external stakeholders
- Draft, edit, and proofread executive communications
- Ensure timely, accurate dissemination of information such as agendas, documents, and presentation materials to relevant parties
- Coordinate complex domestic and international travel and travel-related activities, including flights, hotels, transportation, meetings and meals
- Plan and provide on-site support for team & department off-sites, board meetings, incentive trips and client events
