Who you are

  • 1-2 years of experience in office administration from a tech/ startup environment
  • Strong organizational skills with the ability to multitask and prioritize
  • Excellent communication and interpersonal skills
  • A proactive, self-starter attitude with the ability to work independently
  • Ability to work well within a growing team and support a positive work culture
  • Tech-savvy with basic IT skills to assist with office equipment and new joiner setups
  • Previous experience in organizing employee events or welfare programs – an advantage
  • Experience in HR or a related field (ideally with some HR exposure or interest) – an advantage

What the job involves

  • We are excited to expand our presence in the US and are now seeking a dedicated Office Administrator and Junior HR Coordinator to help manage our new office in Chicago and support the wellbeing of our US team. This role will be key in ensuring smooth day-to-day operations, fostering a positive office culture, and providing essential administrative and HR support
  • Maintain and manage the physical office space to ensure it is ready at all times
  • Assist with meeting room setups
  • Oversee onboarding for new joiners including equipment setup
  • Handle the offboarding process for leaving employees
  • Clients Equipment
  • Coordinate the delivery of equipment to and from clients as required
  • Maintain an up to date inventory of all equipment
  • Plan and organize team events, happy hours, and other employee engagement activities
  • Manage swag distribution for new joiners as well as for events
  • Organize celebrations for birthdays and work anniversaries
  • Ensure employee welfare needs are met and assist with any day-to-day employee inquiries
  • Conduct routine one-on-one check-ins with US employees to assess needs, wellbeing, and job satisfaction
  • Support managers in aligning on employee wellbeing, performance, and development
  • Collaborate closely with the UK/IL offices to align on policies, procedures, and workflow
