Role
Who you are
- Based in Chicago, with the ability to work on-site 4–5 days per week
- 2–3 years of experience in office management or administration, preferably in a tech or startup environment
- Demonstrated ability to take ownership of operational tasks — including managing vendors, sourcing supplies, and handling logistics from end to end
- Experience planning team/office events or employee engagement programs
- Strong organizational skills with the ability to prioritize, multitask, and keep things moving in a fast-paced environment
- A proactive, can-do attitude — you take initiative, solve problems independently, and thrive when given autonomy
- Collaborative and team-oriented, with a strong sense of accountability and ownership
- Tech-savvy, with the confidence to set up and troubleshoot basic office equipment and assist with onboarding IT needs
- Comfortable managing budgets and tracking spend for office and team-related needs
- Excellent communication and interpersonal skills; approachable and comfortable interacting with people at all levels

What the job involves
- We’re looking for a proactive, hands-on Office Manager to support our growing North America team and oversee daily operations at our new coworking space in Chicago
- This role is all about making things happen — ensuring employees are supported, the office runs smoothly, and team culture thrives
- You’ll take ownership of a wide range of tasks, always with a “no task is too big or small” mindset
- Serve as the primary point of contact for general employee support in North America; ensure day-to-day needs and welfare are met
- Organize and execute employee engagement activities, such as team events, happy hours, seasonal celebrations, and recognition milestones (e.g. birthdays, anniversaries)
- Own end-to-end management of gifts for employees and new hires — including selecting items, sourcing suppliers, ordering, and preparing within budget
- Oversee the coworking office environment to ensure it is organized, stocked, and running smoothly at all times
- Manage relationships with coworking space providers and external vendors
- Handle onboarding logistics for new joiners, including equipment, welcome kits, and introductions
- Manage offboarding processes and equipment returns for departing employees
- Source, order, configure, package and distribute swag, supplies, and equipment for staff and clients
- Maintain accurate inventory and proactively identify replenishment needs
Our take
Despite accounting for 13% of the world’s GDP, construction productivity continues to lag, only growing 1% in the past two decades. A large part of that story seems to be the disconnect between managers and on-site workers.
Buildots is attempting to tackle this element of construction management with a unique blend of artificial intelligence and hardware. For example, one of the startup’s flagship products image processing software from a fleet of hardhat-mounted 360-degree cameras.
The company had a very successful 2024, having raised substantial funding and launching its AI-driven Delay Forecast feature. These are big moves for the company and position it well for a future of continued success.
