Role
Who you are
- The ideal candidate will be an experienced, organized, and detail-oriented professional with excellent communication skills and the ability to collaborate with internal and external stakeholders of all levels
- 5-8+ years of experience as an Executive Assistant supporting senior executives or leadership teams in a Series B-D startup environment
- Exceptional time management, organizational skills, attention to detail, and ability to manage multiple priorities effectively
- Excellent written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders at all levels
- Strong problem-solving skills and resourcefulness. Ability to determine priorities and take action accordingly
- Ability to work in our NYC office 5 days per week (M-F)
- Fluent in Apple Products (Mac, iPhone), Google Suite (Gmail, Calendar, Docs, Slides, Sheets), Slack, and Zoom; ability to learn and work with other software tools
- Experience as the first EA for an executive at a startup and/or experience in tech is a plus
- Strong sense of ownership. You have flexibility to occasionally be available to work outside of standard business hours
What the job involves
- As our CEO’s Executive Assistant (“EA”), you will play a critical role in managing the CEO’s time, scheduling, and administrative needs
- Your primary focus will be on optimizing the CEO’s schedule, coordinating high-priority meetings, and ensuring smooth daily operations
- Time Management & Scheduling:
- Maintain an accurate and organized professional and personal calendar for the CEO while providing day-to-day support
- Act as the point of contact for all scheduling, ensuring CEO’s time is allocated effectively based on urgency and priority
- Confirm meeting agendas and gather relevant documents to ensure all meetings are productive and the CEO is adequately prepared with necessary information
- Handle scheduling and logistics for leadership team-wide meetings and events
- Communication & Coordination:
- Maintain ongoing, fluid communications with CEO
- Coordinate with internal and external stakeholders, ensuring effective communication and follow-up
- Maintain and prioritize the CEO’s email communications, ensuring timely responses to urgent matters, flagging important issues for review, and organizing emails. Handle all confidential / sensitive information with extreme discretion
- Organize and manage documents, files, and correspondence with accuracy and efficiency
- Task Management & CEO Support:
- Act as a trusted partner, developing a strong understanding of the business and proactively handling tasks independently
- Resourceful builder that creates and optimizes processes to ensure smooth operations, leveraging automations where helpful
- Act as the first point of contact for all items requiring CEO input or approval
- Handle expense reporting and processing with accuracy and attention to detail
- Coordinate with the NYC Office Manager to manage mail, employee / external gifting, and other ad hoc support tasks
- Arrange travel logistics, including flights, accommodations, and transportation, with a high degree of accuracy
Our take
Creating high-performance marketing emails can be time consuming for internal teams, who often have to rely on engineering and product teams for support. The founders of Stensul noted the number of tools available to businesses to support email delivery, but saw this gap for helping with creation.
Considering the importance of email in the world of marketing, every company in the world is a potential client for Stensul, and it has already worked with enterprise brands including YouTube, Samsung, Verizon Media, BMW, and Capital One. Despite competition from larger email marketing services such as MailChimp and Moosend, the company has secured substantial backing which enabled it to expand operations throughout the last few years.
Most lately, Stensul has focussed on improving its functionality, with the largest change being the addition of a landing page builder to its platform. This capability is now treated as a core part of the company's offering, and should help it expand its roster of clientele. In addition, it has added generative AI features with the aim to "improve creation efficiency" for its users, another step to ensure it stays at the front of the market.
