Operations Lead, Sigma Labs

• Academic: a strong educational background, however we are also open to candidates who have achieved in other ways (the institute is less important than the standards you’ve set for yourself, and the challenges you’ve overcome)
• Professional: 1-2 years minimum professional experience delivering operations in a fast-paced environment that requires excellent organisation and prioritisation skills
• Communication: experience communicating with a range of audiences and stakeholders, as well as excellent written communication skills, including managing documentation
• Additional capabilities: Proficient in MS office and generally confident in learning and using data platforms and systems; experience with corporate tech stacks (e.g. HR systems, Slack) and CRM systems is an advantage

Desirable

• The Operations Lead is responsible for product, corporate and delivery event operations, reporting into our Senior Leadership Team
• It is a unique role, in that it has the benefit of operating across the whole business and engaging with staff, candidates, trainees, consultants and clients
• As such, as well as core operational skills, we are also looking for someone who really enjoys working and collaborating with a range of people and seeks to continuously improve their work in service of others
• The Operations Lead will own a high number of enabling processes (people-based and technology-based) that are essential for Sigma Labs to succeed and deliver our mission, and will often act as the ‘glue’ of the organisation
• The ideal candidate will therefore thrive in juggling high-volume tasks and projects simultaneously, including developing operations to become more efficient and effective as we scale-up to become a world-class organisation
• Product & Sales operations: you will support our ability to select high potential candidates, deliver exceptional education and experience within our training programmes, and build great relationships with clients and consultants
• Responsibilities will include but are not limited to: Delivering fantastic candidate care and responding to candidate queries, and administrate aspects of our application tracking system / CRM system; Administrate training agreements and consultant contracts, as well as manage trainee and consultant onboarding and communication; Organise conference-style events, external training sessions with partners, fireside chats, and social events for our trainees and consultants; Organise in-person training venues, acting as the key point of contact for trainees and consultants; Oversee trainee, consultant and client expenses, as well as liaising with budget holders and managing small budgets when necessary
• Corporate & workplace operations: you will support a range of corporate functions to enable our internal staff to perform to the best of their ability
• Responsibilities will include but are not limited to: Owning basic technology administration, including procuring and managing our hardware inventory (laptops); setting up software accounts, including Google accounts, managing access rights and troubleshooting all tech systems (including contacting external suppliers for guidance) for staff , trainees and consultants; Compliance & HR operations tasks, including updating our HR system and updating and conducting research for policies where necessary; Office management, including office tidiness and layout, procurement of office goods, support with office sourcing and design, and managing office assets; Develop relationships to enable longer-term contracting with venues and suppliers; Organising occasional company offsites and away days
• Projects to improve our ways of working: the role includes identifying and leading on projects across the business to enhance our processes, approaches and data management
• Managing any external resources: as this role grows and evolves, we expect you to outsource some operations or administrative tasks to external resources and manage them
• Leaning-in: playing a key role in the team and doing whatever it takes to help us achieve the mission and principles
