Role
Who you are
- We’re on the hunt for a confident and hands-on Executive Assistant with excellent organisational and communication skills
- You will have previous experience in a similar role working in a fast-paced agile company and will be comfortable rolling up your sleeves to get the basics done whilst supporting the CTO and CDO
- You will be happy to help out with office management duties when they arise and no task is too big or small for you!
- Extensive experience as an Executive Assistant, ideally in the tech world
- Super-organised, able to prioritise and manage workload efficiently with the ability to adapt to shifting priorities
- Flexible and able to work in a fast-paced and agile team environment
- Excellent interpersonal skills and the ability to build relationships at all levels
- Lots of energy and a can-do attitude with a track record of getting things done! No task is too big or too small and you’ll love building a positive work environment
- Proficient in Google Workspace and Slack, ideally experience using Netsuite and Egencia
- Ad hoc project management help for the data team and engineering teams, working to timelines and ensuring smooth running of a project
What the job involves
- Diary management for Chief Technology Officer and Chief Data Officer, with ad hoc help for the whole tech team. You will also be co-ordinating wider management meetings
- Collaborate and work closely with the Founder’s EA and the Exec EA, to ensure diary alignment
- Taking minutes, creating agendas and sending out actions/follow ups with team members
- Designing and planning presentations for management team members & for company meetings
- Maintain spreadsheets, contacts, distribution lists etc
- Coordinate domestic and international travel arrangements when needed
- Collate expenses and send them to Finance for processing, including managing expenses on the Company credit cards
- Responsible for raising Purchase Orders and facilitating the payment and authorisation process where needed
- Organise social activities for teams, and wider business. Help also with organising Strategy days for the Exec team as well as company wide parties and training days
- Work alongside our Office Assistant and help with ad hoc office management duties

Since its unveiling in Vogue magazine in 2017, Beauty Pie has gone on to be very successful with tens of thousands of members.
Through her experience in the beauty industry, founder Marcia Kilgore felt uncomfortable with selling cosmetic products for vastly marked-up prices within traditional retailers. Beauty Pie was created to challenge that old-school model by offering members access to luxury beauty products at fairer prices. By paying a monthly subscription, members unlock lower prices, with a spending limit in place to keep things fair for everyone.
The USP of Beauty Pie is its transparent pricing, with its members knowing exactly what their money is paying for. Members pay for the factory costs, materials and testing for products. Beauty Pie achieves the lower prices by cutting out the middleman and bypassing costs such as celebrity endorsements and brick and mortar stores, saving on expenses which are ordinarily passed along to consumers.
There has been a growing appetite for affordable quality cosmetic products as can be seen by the popularity of brands such as The Ordinary for skin care and Revolution for make up. But Beauty Pie offers a wider range of products that can better adapt to customers purchasing habits. It is also somewhat less utilitarian in its approach than its competitors, providing a luxury, boutique experience for its members despite the lower price tag.
