Role
Who you are
- Candidates must have solid communication, technology, analytical and management skills
- Candidates should possess knowledge of all aspects of generally accepted accounting principles (GAAP), and should have experience managing teams of 5 or more direct reports
- The role requires at least ten years of relevant experience and a bachelor’s degree in finance or accounting
- Candidates with a master’s degree in business administration (MBA) or professional accreditation such as certified public accountant (CPA), certified management accountant (CMA) or chartered global management accountant (CGMA) are preferred
- Previous experience in accounting is highly preferred
What the job involves
- The VP of Finance, reporting to one of the Co-CEOs, will build an exceptional finance organization, engage cross-functional leaders, drive streamlined financial operations & data-powered insights throughout the organization
- Leading our Finance team, with direct reports including:
- Sr. Accounting Manager, who is responsible for our month end close, financial statement audits in accordance with US GAAP, treasury, and AR collections
- The Senior Accounting Manager will be directly responsible for certain month-end activity, including but not limited to:
- Asset/leasehold capitalization via Asset Guru, related depreciation/ amortization, release of prepaids
- Work with the Director of Accounting & Financial Operations to reconcile and file month-end LLC and Cafe sales tax returns
- Book intercompany eliminations from LLC to Holdings., and consolidation of entity financials to Holdings
- Review of all P&L and Balance Sheet account activity to ensure proper coding by department, location, G/L account
- Review of cafe invoices generated by the Accounting Specialist and sending them to clients once approved by the client manager
- Work with the Director of Accounting & Financial Operations to prepare LLC P&L and Holdings financial statements
- Generate and send monthly expenditure reports to Department Heads
- Our Sr. Accounting Manager manages one Accounting Specialist and one AR Specialist whose work includes but is not limited to:
- Reconciliation/booking of revenues, calculation and booking of net revenue share for certain partners, customer credits
- Submission of invoices generated by the sales team via specified portals (i.e. Coupa) for payment by client
- Booking cash receipts and weekly submission of A/R information to the bank for the receivables-backed line of credit
- Client follow-up on outstanding A/R
- Month-end booking of LOC interest, COGS, Inventory, and maintenance of A/R roll-forward
- Our Sr. Accounting Manager manages one Payroll Specialist whose work includes but is not limited to:
- Processing and posting of bi-weekly and off-cycle payrolls
- Payroll-related allocations, IT hour capitalization, month-end accruals
- Ensure W-2s are processed in Rippling in a timely manner and answer any questions from employees
- AP Manager, who manages a team of four AP and Billing Specialists and is responsible for daily, weekly, and monthly activities including but not limited to the below:
- Daily: manages team monitoring inbound invoices and statements, processes all bills, posts to GL, and handles all vendor communications tied to AP activity
- Weekly: runs bill payments and reviews coding of bills due within the next 7 days
- Monthly: reconciles monthly vendor statements to bills received and processed in Bill.com, with follow-up on missing bills, and reconciles Bill.com to NetSuite
- Owns the accuracy of the Partner Billing Tracker, ensuring the Invoice Specialists are inputting bills in the Tracker with properly calculated currency conversion, revenue share, and net pay, in a timely and accurate manner
- The A/P Manager will, with the assistance of the A/P Specialist, code Partner bills in Bill.com according to the terms in the tracker, working with the Invoice Specialists and the A/P Specialist to resolve any discrepancies
- Work with the A/P Specialist to process year-end 1099s in a timely manner
- Oversee Client Contract Specialist, who manages the full contract lifecycle, including fulfilling contract requests from the Sales and Client Success teams
- Eventually hiring support on the FP&A side of the business to run FP&A across the business, including monthly department budgets, projection modeling, and FP&A analysis
- Sales forecasting - design and implement an efficient sales process to help drive company alignment on sales processes, methodologies, forecasting, and reporting
- Compensation modeling - own the Sales Incentive Compensation planning and design process and align quotas with segments, determine over-assigns, and compare historicals to advise on plan growth
- Working in collaboration with our Data team to:
- Connect data from across the organization to provide a 360-degree view of financial health
- Tax, Insurance & Registration
- Work with Miller Cooper and Taft to oversee our regulatory reporting, tax registrations, and compliance
- Work with JMB to oversee our insurance operations
- Reporting & Audits
- Managing the accumulation and consolidation of all financial data necessary for an accurate accounting of consolidated business results
- Evolve Netsuite reporting to line up with the reporting structure used for management, investors, and operations, especially as we explore new lines of business
- Develop new reporting on historical performance (e.g., Client P&Ls, Market P&Ls, Partner P&Ls and Cash Flow Statements)
- Deliver timely management and investor reporting
- Coordinating and preparing internal and external financial statements
- Coordinating activities of external auditors
