Who you are
- Demonstrable experience of providing executive support at C suite level in a fast-paced environment
- Ability to translate and summarise complex information into short, sharp briefs to enable effective decision making
- Experience of producing accurate and influential written documents in a variety of styles to a high standard
- Confident in working closely with senior level individuals internally and externally, with an ability to persuade and motivate people and teams at all levels
- A continuous improvement mindset, with demonstrable experience in implementing changes resulting in efficiency
- Strong co-ordination and administrative skills, with high attention to detail
- Strong analytical, problem solving and collaboration skills
- Proactive, self-motivated and ability to work without supervision
- Resilient in juggling multiple demands and requests and able to develop pragmatic responses, resolving problems in a calm manner
- Strong proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems and advocate to encourage adoption across the CBO area
What the job involves
- You will be responsible for providing a high level of executive support to the C-suite of Connected Places Catapult (CPC) to execute their responsibilities effectively
- The role will work closely with the Executive Office Team Lead to ensure the effective running of the business
- This will involve providing operational support to the Chief Delivery Officer (CDO) which will entail a variety of different tasks, including monitoring the CDO’s inbox and responding to a variety of enquiries on their behalf, the management and co- ordination of Executive level meetings, creating reports, supporting budget processes, troubleshooting and ensuring the progress of different activities
- As a key member of the Delivery leadership team, work closely with the CDO to ensure the effective management of the Delivery business, acting as a problem-solver/ trouble-shooter as requested and under own initiative. This may also require attendance of meetings on behalf of the CDO
- Develop and maintain a broad knowledge of CPC’s strategy and business plan, to ensure the relevant context is maintained to support and drive activities
- Provide executive support to the CDO including scheduling, organising, and optimising the CDO extensive and complex calendar. This includes balancing and managing the priorities of the CDO to ensure that commitments are maintained at all times
- Effectively manage the CDO’s high-volume inbox, filtering and prioritising requests and actioning emails where possible. Regular contact with CDO throughout the day to address issues
- Draft correspondence, produce PowerPoint presentations, produce and synthesize spreadsheets, and proofread documents with a high attention to detail
- Develop accurate and timely briefings to the CDO by working with colleagues to prepare high quality materials for use at key events, meetings and engagements
- Work with a range of colleagues internally to develop content, presentations, and materials to be used by the CDO in internal / external environments
- Proactively work with the business to ensure actions within the CDO area are completed
- Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business. This will include working with other executive support roles to ensure the overall effectiveness of the senior corporate team interactions
- You may be required to undertake any other reasonable duties to support CPC in achieving its strategic outcomes and ensure effective business operations. This may include supporting the CEO or other executive directors as required
- Maintain good governance for all CDO led Executive meetings including preparing agendas, circulating papers and collating feedback in a timely manner, minute taking and action tracking
