Who you are
- 3+ years of experience as an Executive Assistant supporting a C-suite executive, ideally at a high-growth startup or venture-backed company
- Exceptional written communication skills — you can draft an email to a Board member or a note to a key investor that sounds right, every time
- A track record of handling sensitive, confidential information with sound judgment
- Experience interfacing with Boards of Directors, investors, or senior external stakeholders — you understand the stakes and know how to show up accordingly
- Demonstrated AI fluency and an ability to constantly pick up and learn new workflows that make you more efficient — you don't just use AI tools, you build workflows and systems with them; you're constantly asking "how can I automate this?" and acting on the answer
- Extraordinary organizational instincts — you track 20 things at once, nothing slips, and you proactively surface what needs attention before you're asked
- High emotional intelligence and strong interpersonal skills; you can build trust quickly with people at every level
- A self-starter orientation with a low ego and high output — you thrive in ambiguous environments, take ownership without being asked, and derive satisfaction from making someone else's work frictionless
- Flexibility and composure under pressure — startup life is nonlinear
What the job involves
- As Executive Assistant to the CEO at GlossGenius, you will be a force multiplier for one of the most demanding and high-visibility roles in the company
- This is not a traditional EA role — it's an operator's role
- You'll manage the full complexity of our CEO's day across professional and personal matters with precision, discretion, and a systems-first mindset
- You'll be the connective tissue between the CEO and the Board, investors, external partners, and internal teams — and you'll build the workflows and infrastructure that make all of it run seamlessly
- You will report directly to the CEO and will be based in New York City
- This role is primarily in-person
- Manage a complex, fast-moving calendar across time zones, making real-time prioritization decisions that reflect the CEO's goals and protect space for deep work
- Drive workflows, trackers, and communication systems that reduce manual effort and increase the CEO's bandwidth; own these systems end-to-end and continuously improve them
- Coordinate Board meetings, prep materials, and manage follow-up with a level of polish and confidentiality that reflects the seriousness of those relationships
- Support personal scheduling, travel, household coordination, and other personal needs as they arise; handle these with the same urgency and discretion as professional priorities
- Manage travel, offsites, and leadership events with attention to every detail
- Help the CEO stay focused on what matters by triaging inbound requests, preparing context-rich briefing materials, and ensuring they walk into every meeting fully prepared
- Handle sensitive information about personnel, financials, strategy, and personal matters with the highest degree of discretion, always
