What the job involves
- We are seeking a proactive and highly organized People Team Assistant to support our Chief People Officer (CPO) and the People Leadership Team (PLT)
- This role plays a critical part in maintaining seamless operations and driving the success of People Team initiatives by providing comprehensive coordination and administrative support across the team
- Manage the CPO’s calendar, schedule meetings, and coordinate appointments
- Manage calendars for the People Leadership Team, scheduling meetings, appointments, and events, ensuring all commitments are met
- Travel Arrangements: Organize domestic and international travel , including booking flights, hotels, transportation, and preparing travel itineraries
- Expense Management: Process and reconcile expense reports, ensuring timely and accurate submission in accordance with company policies
- Manage the end-to-end process of spend requisitions, including preparing, submitting, and tracking purchase orders to ensure timely approvals and budget alignment
- Vendor management: Oversee vendor management by maintaining relationships, coordinating contract renewals, and ensuring compliance with procurement policies
- Meeting Coordination: Prepare agendas and meeting materials. Take meeting minutes, track follow-ups, and ensure timely completion of action items
- Team Events: Assist and plan all team outings and meet-ups which may require working after office hours occasionally
- Special Projects: Assist with special projects and initiatives, providing research, documentation, and coordination as needed
- Confidential Support: Handle sensitive information with the utmost discretion and confidentiality
- This role requires being in the office, located in the Empire State Building, a minimum of 3 days per week
