Who you are
- The ideal candidate is detailoriented, highly organized, and capable of multitasking in a fast-paced environment, with strong communication skills and the ability to collaborate across various departments to achieve company objectives
- Bachelor’s degree in Business Administration, Operations Management, or a related field preferred
- 2+ years of experience in an administrative or operations support role, preferably in a customer service-oriented environment
- Strong organizational and time-management skills
- Strong customer service orientation with a friendly and professional

- Excellent written and verbal English communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to work independently and as part of a team
- Problem-solving skills with a proactive approach to addressing challenges
- Attention to detail and accuracy in data entry and reporting
- Familiarity with booking travel and working with Travel Management
- Companies (TMCs)
- Physical Demands: Ability to lift up to 25 pounds and stand or sit for extended periods as required by the role
What the job involves
- The Operations Assistant will play a critical role in supporting the daily functions of the operations team by performing administrative and logistical tasks, assisting with project management, and ensuring the smooth execution of operational processes
- This role also includes serving as the Receptionist for our Headquarters, where you will create a welcoming and professional environment for clients, vendors, and visitors
- As the face of our New York office, you will ensure seamless office operations while providing exceptional service to our internal teams and their guests
- Administrative Support: Provide comprehensive administrative assistance to the operations team, including scheduling meetings, managing calendars, preparing reports, and handling correspondence
- Professionally manage and transfer a high volume of incoming calls, ensuring efficient communication
- Welcome and assist clients, vendors, and visitors, coordinating their visits with the appropriate staff members
- Maintain the appearance and cleanliness of the reception area, conference rooms, and pantries to reflect a professional environment
- Open, sort, and distribute checks and incoming correspondence promptly
- Manage FedEx/UPS/messenger packages, including signing, tracking, and ensuring timely delivery
- Prepare refreshments for client meetings, ensuring a comfortable experience
- Support the coordination of office events, including scheduling, logistics, and catering arrangements
- Assist with ordering and maintaining office and pantry supplies, ensuring stock levels meet office needs
- Coordinate travel itineraries and arrangements for staff, including booking flights, accommodations, and transportation
- Assist in managing office space logistics, telephone lists, security badges, and office keys
- Serve as a point of contact for office equipment, services, and operations issues, ensuring prompt resolution and minimal disruption
- Provide general administrative support to Operations, HR, Recruitment, and Managers as needed, facilitating smooth office operations
- Dentify areas for operational efficiency and assist in developing and implementing process improvements to optimize workflow and reduce costs
- Work closely with other departments, including Finance, HR, and Sales, to align operations with overall company goals and objectives
- Participate in special projects and initiatives as assigned by the Operations Manager or senior leadership
