Executive Assistant, Kintsugi

• This role requires a proactive, detail-oriented individual with exceptional organizational skills and the ability to manage multiple priorities
• Bachelor’s degree or equivalent experience
• Minimum of 3-5 years of experience as an Executive Assistant or in a similar role, preferably supporting C-level executives
• High level of attention to detail and accuracy
• Exceptional organizational and time management skills, with the ability to prioritize and manage multiple tasks
• Strong written and verbal communication skills
• Proficiency in Google Suite and familiarity with project management tools
• Ability to work independently and as part of a team in a fast-paced, dynamic environment
• Proactive, resourceful, and adaptable
• Strong problem-solving skills and the ability to anticipate needs
• Professional demeanor and the ability to interact effectively with individuals at all levels

Desirable

• The Executive Assistant (EA) will provide high-level administrative support to the Founder/CEO of Kintsugi and report directly to the Senior Executive Assistant
• The EA will be a key partner, enabling the Founder/CEO to focus on strategic initiatives by ensuring efficient operations and communication within the company
• Additionally, the EA will support the Senior Executive Assistant on larger projects
• Administrative Support:
• Manage the Founder/CEO’s calendar, including scheduling meetings, appointments, and travel arrangements
• Coordinate logistics for internal and external meetings, ensuring all necessary materials are prepared in advance
• Handle correspondence, including emails, phone calls, and written communication, on behalf of the Founder/CEO
• Support Head of BD and Strategy scheduling needs
• Project Support:
• Assist the Senior Executive Assistant with larger projects, ensuring deadlines are met and deliverables are achieved
• Help prepare presentations, reports, and other documents for internal and external stakeholders
• Conduct research and gather information as needed to support project needs and the Founder/CEO’s decision-making process
• Communication and Coordination:
• Serve as a liaison between the Founder/CEO and other executives, employees, clients, and partners
• Ensure clear and timely communication of priorities and expectations to relevant stakeholders
• Facilitate follow-up on action items and deliverables from meetings and discussions
• Confidentiality and Discretion:
• Handle sensitive information with the utmost confidentiality and discretion
• Maintain a high level of professionalism and integrity in all interactions
