Role
Who you are
- 2+ years of experience in office administration and management, ideally within a growing/startup environment
- Proven experience with budget & vendor management and overseeing office expenses, managing external service providers, and especially utilities & bills
- Strong interpersonal skills to engage with all levels of the organisation, including senior leadership, as well as external stakeholders/contractors
- Strong attention to detail and a proactive & flexible approach
- Ability to carry out various administrative duties with accuracy and speed
- Greater London-based and happy to be present in the office minimum 3 days per week (1-2 days for PTEs)
- Basic IT knowledge (comfort with setting up and managing IT equipment for the office) and competent use of GSuite and MS office packages
- A self starter who can work autonomously with a strong sense of responsibility
- A people person! Warm, approachable, & patient, and very keen to drive a fun and collaborative company culture
- Passionate about animals, cats especially
What the job involves
- Job type: Available Full-Time or Part-Time (2-3 days per week)
- Please note that this role is available for full time or part time. This is due to the flexible nature of this role and our willingness to bring on a capable & culture-led team member, without restrictions to their growth or personal circumstances
- Our 25-person team is on track to grow to 40 by the end of the year, and we’re about to make an exciting office move to our new home for the next 2-3 years! We need someone keen to contribute to team morale and efficiency who can look after our people and our HQ
- As the Office Manager at Untamed, you will support the Head of People on a range of people & culture initiatives, primarily across the ownership of all office management responsibilities to create a well-supported, engaging, and productive work environment
- Office & Facilities Management:
- Assisting with the move to (and subsequently managing) our new 4000sqft office space, including liaising with landlords, external building management team, contractors, and cleaners as appropriate
- Owning utilities & expense management (water, electricity, wifi, and cleaning/waste disposal), including all documentation, budgets, and invoices in collaboration with our finance team
- Maintaining a well-kept, presentable, and welcoming office and ensuring people are respecting the environment & office processes
- Acting as the go-to person for everyday office and operational queries
- Keeping us stocked with snacks, stationary, kitchen & bathroom supplies and more!
- Taking responsibility for all office and employee Health & Safety and creating the processes for compliance in these areas
- Ensure meeting rooms are set up for external meetings and cleared away afterwards
- Manage all travel & hotel bookings for the team
- Assist with meeting scheduling and sending diary appointments as required.
- Culture & People: You will also collaborate with the Head of People on the following projects.
- Maintaining a dynamic & collaborative team environment and creating a space for an exceptional employee experience
- Delegating onboarding activities to ensure a smooth onboarding process and providing operational support to new employees
- Supporting on headcount management & recruitment initiatives, and providing insight and suggestions of improvements where necessary
- Scheduling and planning of social and culture initiatives across the year, from smaller in-office fun & celebrations to company-wide summer & Xmas parties
