Who you are
- This position is designed for someone who is not only efficient, proactive and organized but also thrives in a fast-paced, highly collaborative environment — and is passionate about contributing to the strategic success of our leaders and the broader EPD organization
- The successful candidate will be adept at managing both synchronous and asynchronous communication, maintaining comprehensive documentation, and actively contributing to team culture and engagement in a distributed environment
- Have 3-4 years of previous experience supporting multiple senior-level executives as an executive assistant in a tech environment, ideally in a remote-first or distributed company
- Are highly organized, detail-oriented, and capable of managing multiple priorities simultaneously
- Possess strong communication skills, written and verbal, with the ability to interact effectively with senior-level executives, as well as the rest of the organization
- Have planned multiple large team offsites (both in person and virtual), with the knowledge on how to prepare, budget, and execute offsites successfully
- Proficient in Google Workspace, Slack, and Zoom
- Ideally have experience with Workday, Navan, or Figma, and are eager to learn new tools and technologies
- Know how to handle time-sensitive, confidential information with discretion and integrity
- Are adaptable and can handle ambiguous situations and frequent change with ease
- Knows how to be thoughtful in their approach. willing to help without being asked, proactive in their abilities, and have no ego
- Are an empathetic individual with a desire to contribute to and empower a diverse and inclusive team environment
- Has the ability to promote a fun, engaging team environment in a remote setting
- Take initiative and are always looking for ways to improve processes and contribute to the team’s success
- Stay curious and open to growth — actively building fluency in emerging technologies like AI to unlock creativity, accelerate progress, and amplify impact
What the job involves
- As an Executive Assistant at Webflow, you will serve as a strategic partner to three Vice Presidents within the Product Organization to ensure alignment on goals and objectives across the Engineering, Product, and Design (EPD) Pillars
- As a visible, trusted partner, you’ll act as an extension of your executives — helping them stay focused on their highest-impact priorities
- Reporting to the Vice President, Product Design
- Calendar & Inbox Management: Strategically, and with timeliness, manage calendars & inboxes, effectively prioritizing high-impact activities and ensuring focus is aligned with organizational goals
- Meeting Coordination: Coordinate and facilitate leadership meetings, product planning sessions, and quarterly business reviews. Prepare for and attend synchronous meetings across multiple time zones, drive accountability across the Product organization by tracking key deliverables, follow-ups, and action items
- Project/Event Management: Lead a variety of cross-functional special projects that require planning, coordination, and organization, such as team offsite event planning and implementing new programs and processes. Your efforts will directly contribute to the scalability and effectiveness of the Product Department
- Travel Arrangements: Organize travel for executives, including booking flights, accommodations, and ground transportation, ensuring seamless logistics and minimizing downtime. Simultaneously work closely with finance business partners to manage T&E budget associated with these offsites and events
- Information Flow Management: Handle time-sensitive, confidential information with discretion and integrity, and manage information flow within the executive team to enhance decision-making processes
- Stakeholder Interaction: Build and maintain relationships with internal and external stakeholders, ensuring effective communication and collaboration, which are crucial to the success of Webflow
