Who you are
- Experience: Minimum of 5+ years of experience in an Executive Assistant or similar role, preferably in a fast-paced startup environment or supporting senior executives
- Preferred Experience: Experience in project management or process improvement, experience in a startup environment, and prior experience supporting executives
- Exceptional organisational skills, with the ability to manage multiple priorities simultaneously. Strong problem-solving abilities, attention to detail, and a proactive approach to managing tasks
- Excellent written and verbal communication skills, with the ability to build relationships and communicate effectively with a wide range of stakeholders
- High level of autonomy and flexibility, with the ability to adapt in a dynamic, fast-changing environment
- A proactive, self-motivated individual with a passion for Cleo's mission
- Someone with a strong sense of ownership and the drive to deliver results

What the job involves
- We are seeking a highly organised and proactive Executive Assistant to support our CEO and Founder, Barney. This is a unique opportunity to join a high-growth startup, making a meaningful impact by ensuring the CEO can focus on driving Cleo’s vision and strategic priorities
- As the Executive Assistant to the CEO at Cleo, you'll play a pivotal role in maximising the CEO’s efficiency and impact
- This role extends beyond the usual EA duties, offering you the chance to manage projects, optimise workflows, and contribute to the overall success and growth of Cleo. Your work will directly enable the CEO to focus on high-priority activities, and you'll gain exposure to high-level decision-making and strategic operations in a dynamic startup environment
- Schedule Management and Coordination: Proactively manage the CEO's complex schedule with an understanding of key business priorities. Coordinate and prioritise meetings, travel, and events, anticipating changes and resolving conflicts to ensure seamless operations. You also may be required to support other Execs on the team with diary management and travel arrangements
- Project Assistance and Task Coordination: Assist in projects on a rolling basis, gathering necessary information, preparing materials, and ensuring that the CEO is well-equipped to make timely, impactful decisions. Owning the company newsletter - coordinating contributors / developing new sections
- Meeting Preparation and Follow-up: Organise and prepare for meetings by gathering relevant information, preparing briefing documents, and ensuring all necessary stakeholders are prepared
- Travel and Environment Management: Oversee all aspects of the CEO's travel arrangements, optimising travel schedules, accommodation, and logistics to create a productive environment, even while on the move. Address unforeseen issues promptly and ensure the CEO's time is maximised effectively
- Communication and Liaison: Act as a key point of contact for the CEO, managing communications and ensuring timely responses. Facilitate effective communication across various departments and with external partners, ensuring smooth coordination and follow-up on important matters
- Process Improvement: Continuously identify opportunities for process and workflow improvements, implementing changes that enhance the CEO’s efficiency and reduce administrative burdens
- Personal assistance: Support the CEO in various matters, including bill management, appointment bookings
- Professionalism and Discretion: Maintain a high level of professionalism and discretion, handling sensitive and confidential information appropriately. Uphold Cleo’s values and represent the CEO and the company with the highest standard of conduct
Our take
People are increasingly not satisfied with the products being offered by traditional banks, which have proven slow to react to the needs of younger consumers who expect more from their everyday experiences.
Cleo was one of the first companies to make great use of chatbots that sit within Facebook's messenger app. This chatbot-first approach and Gen Z user base have given it strong virality. It now has millions of registered users, 99% of which are based in the US, leading to a decision to take a year break from the UK market to focus on its US Gen Z customers. And after a successful year in the US its now eyeing up a return to the UK.
Its Series C funding will help the company to double down in the US, where it will make a significant increase in employee headcount, and enable Cleo to maintain and expand its service during an economic downturn.
Financial advice delivered via bots is a crowded space, so Cleo benefits from having a strong brand presence. It has gone for very bold, fun, Gen Z-focused messaging which helps it to stand out from competitors such as Emma, Plum, and Chip.
