Who you are
- The ideal candidate is detail-oriented, proactive, and exceptionally organized, with a natural ability to prioritize competing demands while maintaining a positive, solution-focused approach

- 2+ years of experience in office management, administration, or operations roles
- Demonstrated proficiency in managing office logistics and facilities
- Experience with basic IT support and systems administration
- Background in supporting business operations in a fast-paced environment
- Track record of implementing administrative process improvements
- Strong organizational and multitasking abilities
- Excellent attention to detail and problem-solving skills
- Exceptional communication and interpersonal abilities
- Self-motivated with ability to work independently and as part of a team
- Experience in technology or startup environments preferred
- Understanding of virtual worlds and gaming industry beneficial
- Proficiency with Microsoft Office suite and Google Workspace
- Experience with office management systems and tools
- Knowledge of basic IT troubleshooting and support
- Familiarity with inventory management systems
- Understanding of business administration principles
What the job involves
- As Operations Assistant, you'll provide essential support to our operational infrastructure while managing day-to-day administrative functions
- This role focuses on ensuring smooth business operations through effective facilities management, IT support, and administrative excellence, contributing directly to our efficiency and organisational success
- Our success is built on strong in-person connections, therefore our structure is in-office 4 days a week
- Reporting to the Chief of Staff, you'll play a critical role in maintaining operational excellence as we scale
- Oversee office operations, ensuring a productive work environment for all staff
- Manage office supplies inventory and procurement processes
- Coordinate maintenance, repairs, and facility improvements
- Implement and maintain health and safety protocols
- Manage relationships with building management and vendors
- Oversee office security systems and access
- Serve as first point of contact for basic IT troubleshooting and support
- Manage hardware inventory, including procurement and tracking
- Assist with onboarding and offboarding technology requirements
- Support the implementation of new technological solutions
- Maintain documentation of IT systems and procedures
- Manage general administrative duties including mail distribution and filing
- Coordinate scheduling for key meetings and company events
- Assist with travel arrangements and expense reporting
- Support document management and organization
- Process invoices and manage office-related expenses
- Create and maintain standard operating procedures for administrative functions
- Assist with data entry and maintenance of operational systems
- Support the preparation of operational reports and presentations
- Help implement process improvements and operational efficiencies
- Coordinate cross-departmental administrative needs
- Assist with special projects as assigned
- Support company events and team-building activities
