Who you are
- You have 5+ years of experience as a Workplace Manager, Executive Assistant, or in a similar role, ideally in a tech company or fast-paced startup environment
- Organizational Skills: You excel at managing multiple tasks, projects, and deadlines, ensuring seamless execution without compromising on quality
- Ownership: You take initiative and deliver results independently, identifying challenges and tackling them with a solution-oriented mindset
- Collaboration: You are a team player with exceptional interpersonal skills, capable of building strong relationships with both internal and external stakeholders
- Problem Solving: Your analytical mindset enables you to break down complex challenges and develop practical solutions efficiently
- Adaptability: You thrive in dynamic environments, balancing ad hoc requests and structured responsibilities with ease
- Language: Fluent German and English skills, spoken and written, are a must
What the job involves

- As our Workplace Manager, you will play a pivotal role in creating an exceptional office environment and fostering a thriving workplace culture.
- Reporting directly to our C-suite, you will drive initiatives to enhance our office spaces, provide seamless executive support, and oversee impactful projects and events. This is your opportunity to make a tangible impact on how our teams collaborate and succeed
- Office Management: You’ll oversee all operational aspects of our office, ensuring smooth day-to-day functioning, from managing supplies to aligning stakeholders. You will foster connection among Circulators by organizing small events and initiatives to encourage in-office as well as hybrid/remote collaboration
- Event Planning: You will orchestrate memorable company events like our annual kick-off, summer party, management offsites, or team meetings
- Innovation & Improvement: Beyond daily tasks, you will continuously identify ways to enhance our workplace setup and processes. From improving office layouts to automating workflows, your goal is to foster a better, more efficient work environment for all Circulators
- Executive Assistance/Project Management: Depending on your availability (part-time or full-time), you will also act as a trusted partner to our C-suite, efficiently managing meeting coordination, travel arrangements, and communication to optimize their time and focus. Additionally, you’ll take on a pivotal role as a Project Management Office (PMO), driving cross-functional initiatives and taking full ownership of high-impact projects

With this further development, Circula aims to become a holistic employee finance provider that can bundle all financial strands between employees and employers in the future.
Other close competitors of Circula capitalising on the spend management market include start-ups Moss and Spendesk. Circula intends to grow its team, further develop its product, and enter new European markets such as, in 2022, Netherlands and Spain, to stave off this competition and cement its position in the market.
