Who you are
- 4+ years proven experience as an executive assistant or similar role, highlighting proactivity and critical thinking abilities
- Bachelor's degree preferred, but not required or related work experience
- Responsible for all travel systems management. Experience with Navan a plus
- Experience with expense reconciliation systems. Expensify and Ramp a plus
- Exceptional organizational and time-management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite and calendar management software
- High level of discretion and ability to handle confidential information with utmost sensitivity
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment
- Professional and polished demeanor with excellent interpersonal skills
- Have an ergonomically correct and functional work-from-home workstation set up; amenable to a hybrid of working from home and in an office setting in the Denver Metro Area, Colorado
What the job involves
- As the Executive Assistant to the President and Chief Sales Officer, you will play a pivotal role in ensuring the efficient and effective operation of executive team
- You will be responsible for managing their schedules, coordinating meetings, handling confidential information, and assisting with various administrative tasks
- Collaborate with other members of the executive administration team located in Denver and Pune, India
- This position reports to the Senior Executive Assistant
- Proactive Calendar Management: Take the initiative to anticipate and resolve scheduling conflicts and prioritize appointments, ensuring the executives' time is optimized
- Critical Thinking in Meeting Coordination: Strategically plan and organize internal and external meetings, anticipating potential issues and providing innovative solutions
- Effective Communication: Proactively engage with internal and external stakeholders to facilitate clear and timely communication, making decisions on behalf of the executives when necessary
- Travel Efficiency: Proactively streamline travel arrangements, seeking cost-effective options and optimizing itineraries for the executives' convenience
- Strategic Document Management: Utilize critical thinking skills to organize and manage sensitive and confidential information, identifying insights and trends when handling reports and financial documents
- Expense Optimization: Apply critical thinking to assess and streamline expense processes, identifying areas for efficiency and cost savings
- Strategic Project Support: Contribute to strategic projects by proactively researching, analyzing data, and providing insights and recommendations to the executive team
- Proactive Gatekeeping: Apply critical thinking to screen and filter phone calls, emails, and requests, addressing routine matters independently and escalating urgent issues promptly
- Ad Hoc Problem Solving: Proactively identify challenges and roadblocks that may hinder the executives' progress, offering creative solutions to overcome them
- Additionally, you will serve as a backup to the Office Manager when needed
