Who you are
- Bachelor’s Degree in Business Administration or related field preferred
- Minimum of four years of experience in executive administration with experience in a direct support role to senior level executives
- Excellent verbal and written communication, and organizational skills
- Time management skills with a proven ability to meet deadlines
- Must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Suite, various communications applications (company HRIS, WhatsApp, etc.)
- Must be able to maintain a high level of confidentiality
- Emotes reliability and trustworthiness
- High attention to detail: Anticipating needs and acting on such needs; keen intuition
- Ability to streamline processes
- Independently and proactively resolve any escalated issues that arise
What the job involves
- This role provides multi-faceted administrative support and assistance to 2-3 C-Suite Executives at Caresyntax including the CEO and ensuring their productive interactions with staff and the public
- This will include high-level support, heavy calendar management and successful coordination of business meetings
- This role is also responsible for ensuring the Caresyntax Marin office is running smoothly and supported on a day-to-day basis
- Manage the CEO’s calendar, including personal appointments, requiring interaction with internal and external executives and assistants to schedule a variety of business meetings
- Handle incoming and outgoing phone and electronic communications on behalf of the CEO and route incoming calls to appropriate party quickly and efficiently
- Manage 1-2 other Executive’s calendars including general meeting scheduling, follow-ups and coordination with other parties
- Assist with meeting preparation, including Board meeting coordination, printing and material assembly
- Support global special event planning, including BOD events, conference/workshop coordination, etc. includes scheduling, sending reminders and organizing catering as needed
- Coordinate travel arrangements and reservations as needed
- Independently create well-organized, grammatically correct memos and reports for distribution to members of various departments
- Maintain highest level of confidentiality at all times
- Exercise administrative judgment; assume responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service within the functional area
- Welcomes visitors at the local Marin office and ensures office security
- Collaborate with other office coordinators on any companywide/office events
- Oversee general office operations, including ensuring things are tidy and clean and working with management company as needed
- Receive and sort incoming mail and deliveries and manage outgoing mail
- Help with ad hoc projects as needed
- All other duties as assigned.
