Role
Who you are
- 2-3 years of professional experience as Office Manager or in a related position
- Proven experience in administering office and HR related tasks
- Exceptional organizational skills and attention to detail
- A hands-on mentality and ability to prioritize your work when needed
- A positive attitude and honest and friendly approach when helping your colleagues or employees
- The ability to work independently and systematically. You also have an eye for details
- Excellent verbal and written communication skills in German (minimum C1) and have a solid proficiency in English
- An interest in tech companies, AdTech and data. Ideally you have experience with Google Workspace and Slack
What the job involves
- You will join our global Operations and People team and work with international colleagues on the Berlin site
- You will be the face of the office and help to organize our fun, supportive and international team to run the office smoothly and efficiently
- In addition, you will help with a set of Human Resources and administrative topics with focus on German specific regulations
- Workplace Experience: To make sure our Berlin team stays as happy as it is, you will ensure our Berlin offices are fully supplied and well organized. This includes e.g. handling incoming correspondences and organizing social events to boost our teams’ engagement
- Correspondence/ organization with vendors and office partner, construction worker (e.g. food, beverage, cleaning)
- Manage the contracts - analyse and negotiates prices, terms and other commercial clauses together with our Legal team
- Interface with landlord
- Ensure the Health & Safety measures and regulations related to the office space are implemented and respected including physical security
- Organize weekly office lunches and events
- Delivery and physical mail handling
- Invoice and payment handling in a timely manner
- Manage the office-related equipment purchases
- Provide general support and orientation info to the visitors, guests or colleagues from other locations
- Cooperate with other internal departments, such as IT, Security, HR, Finance, etc., in order to make sure that the business activities run without interruptions
- Ensure office is organized and tidy
- Support our HR Operations: This includes many HR related tasks and helping our employees with their variety of questions
- Assist new employees during their onboarding. You get to help us coordinate orientation sessions, including office tours and make sure new team members have everything they need
- Administer local benefits - e.g. lunch vouchers in a correctly and in a timely manner
- Wellbeing: organizing flu shots, health checks, physical and mental health initiatives
- Clarifications with German institutions like tax authority, health insurance, pension provider
- Interface with our internal global payroll team and external vendor
- Monitoring the Visa and Work Permit process and coordinating with our external relocation vendor
- Work on new projects and process optimization. We strive to better our processes constantly and there’s always something new coming up. You will have the chance to design and develop around projects with your fresh eyes and ideas
