Office Manager / Executive Assistant, Inato

• 3+ years startup experience in a position such as Office Management, HR Operations, Administration, or an equivalent field
• Ability to manage multiple projects simultaneously, prioritizing the highest impact projects first and getting things done on time
• Excellent organizational skills with high attention to detail
• Excellent oral and written communication skills
• Ability to adapt in a fast-paced and ever-changing environment

Desirable

• Administrative Management:
• Executive support for our Chief Strategy Officer, including managing her calendar, scheduling meetings, and organizing travel
• Assist her with the paperwork linked to our US entity: insurance contracts, renewals for providers, etc
• Office Management:
• Assist the team in finding an office in New York where our employees can gather to collaborate and co-work
• Once found, this role will be responsible for managing all office needs including vendor relationships, conference room management, ordering and stocking of supplies, and overall maintenance of the space
• Event Planning:
• Manage and run the US calendar of events including assisting with key client events and managing the events’ budgets
• Assist with the planning and execution of quarterly physical US events as well as the annual all company offsite retreat
• Partner with our C-Levels, Ségolène, and Laura to support any Culture initiatives and events aimed to strengthen Inato’s culture and celebrate our employees
• Contribute ideas for events and benefit/perk updates that would elevate our employees’ experience
• HR Support:
• Oversee our onboarding experience for new hires - administer background checks, schedule new hire orientation sessions, and complete other associated administrative tasks
• Ensure accuracy and compliance with company policies and legal requirements (wage rate notices, labor law posters, setting up new hire and annual harassment training, etc)
• Oversee the day-to-day people team’s operational processes with the highest degree of sensitivity and confidentiality. Be a first point of contact for general employee questions on topics such as employment verification, benefits, perks, etc
