Who you are
- The ideal candidate should be very organized, with a strong capability of streamlining processes such as signing contracts, raising purchase orders, supporting with cash flow projections and troubleshooting invoice payment
- They should also demonstrate excellent collaboration skills to work with a team of project managers based in London, Paris, Berlin and elsewhere
- Additionally, the candidate should be self motivated, able to work independently, and a good team player
- 2+ years of experience in a project management environment
- Highly resourceful problem solver and quick learner
- Strong time management skills and experience managing multiple projects simultaneously
- Reliable, focused, and detail-oriented
- Familiarity with the construction industry preferred
- Familiarity with Workday and Procore preferred, not required
- Fluency in one or more of the following languages would be an asset: German, French, Spanish, Italian, Dutch
- Strong interpersonal skills
What the job involves
- The Project Management function at WeWork oversees the design and delivery of all Capital Projects, from 20,000 USD to several millions
- These projects are in support of our Sales team (accommodating member customization requests), or Operations team (major break-fix or critical equipment interventions) or business-driven (new assets, major refresh initiatives)
- We are currently in search of an Assistant Project Manager to support administrative operations for our project management team in the European markets, namely but not limited to Amsterdam, Barcelona, Berlin, Dublin, Frankfurt, Hamburg, Lisbon, London, Madrid, Milan, Munich, Paris, Prague, Warsaw
- Support with creating contracts or engagement documents from existing templates
- Process change orders and control the approval flow is followed
- Consolidate payment forecasts across contracts to support cash flow projections
- Support Procore administration of projects
- Collect and review invoices, liaise with the accounts payable team to ensure timely payments
- Support Monthly and Quarterly Project Reporting
- Project Financial Performance
- Accruals
- Cash flow forecasting
- Support member billing process
- Support with Project close out
- Support with onboarding and training external vendors
- Candidates must be good communicators and comfortable with a fast-paced environment

WeWork is a commercial real estate company that pioneered the shared workspace market, providing spaces for anyone from freelancers to Fortune 500s. Traditional leases typically require businesses to commit to an office for 5-10 years, whilst WeWork allows its members to scale up from a single hot desk to a private office or custom-built suite, depending on their needs.
WeWork has hundreds of locations across the globe, with hundreds of thousands of members. While its initial rapid growth and dominance in key global hubs was impressive, it has since had to scale back and strategically re-align itself in an unstable economic climate.
There is certainly still potential for WeWork to see renewed growth and success, especially as remote and hybrid working continues to be popular. That said, observers will have to wait to see the eventual affect of its restructuring - and only time will tell what the company's future looks like.
