Role
Who you are
- Strong MS Office PowerPoint and Excel skills. This includes formatting slides to be consistent with Octopus’ brand standards and creating financial charts in Excel.
- Prior experience as an Executive Assistant to Senior Leaders/C-Suite and the discretion required to support confidential projects and reports.
- The ability to solve problems, juggle several tasks at once and balance competing priorities in a fast-paced team.
- The ability to work collaboratively and develop relationships with multiple stakeholders, communicating progress and working with shifting deadlines.
What the job involves
- This role is a fast-paced role supporting four leaders across Technology and Finance
- In addition to providing a well-rounded executive assistant role, this is an opportunity for someone who loves getting to understand business priorities and helping their teams get the most out of their time
- Furthermore, there's a lot of emphasis on building great teams and culture and this role will be helping to facilitate that by organising cultural events and social meet-ups
- You'll be working in a deadline-driven environment and will need to be well-organised and able to juggle and prioritise your workload
- The Technology team are approximately 150 individuals across IT Support, Engineering and Product. Whilst Finance is a team of 8 people. Both are central functions that work with a wide range of internal and external stakeholders to ensure Octopus works progressively in a way that drives this entrepreneurial business
- As an Executive Assistant (EA) you will also be part of a network of EAs who work in various areas of the business, collaborating and sharing ideas on ways of working and driving improvements
- Diary and email management: arranging and coordinating internal and external meetings often requiring proactive resolution of diary clashes
- Monitoring and managing Outlook Inboxes, including prioritising urgent issues and responding where necessary to facilitate the working patterns of the senior team
- Collaborating with these leaders to help them get the most out of their time. Understand what to prioritise and what to de-prioritise
- Use your initiative to solve challenges and proactively make offers of help, tracking key tasks arising from meetings, taking minutes, and chasing up minutes and action points
- Working to foster a great team culture, celebrating successes, and organising social meet-ups and cultural events. You will take an interest in getting to know the teams and what they do
