Who you are

Bachelor’s degree from a reputed, accredited institution required
5+ years of executive assistant and program management experience
Experience supporting a Senior Executive in a fast paced global organization or a late stage start-up
Excellent written and verbal communication skills
Excellent organizational and project management skills
Excellent interpersonal skills, with the ability to work well with all levels of internal and external contacts
Strong learning agility, resilience, entrepreneurial tenacity, personal and team leadership
Ability to self direct work, be solutions focused, and radiate positivity and optimism
Proficient with office productivity tools and technologies such as Microsoft Office, Slack, SAP Concur, etc
Domestic and international travel as requested to support Managing Director for critical meetings and projects. Travel expectation is 10-20%
This role requires in-office work in the Palo Alto headquarters of Kohler Ventures 3 days/week at a minimum with flexibility to meet personal commitments within reason

What the job involves

Primarily supporting the Managing Director / CEO of Kohler Ventures, the Executive Assistant will perform multiple responsibilities to ensure the executive and fast-paced Kohler Ventures organization operates efficiently and smoothly
Drive executive efficiency through calendar management; preparation of daily briefings and priorities; coordination of business travel and appointments; expense management; and general report generation
Proactively prepare the Managing Director for critical meetings (e.g., Board of Directors) by assuring all correspondence, reports, and applicable files are complete and organized in advance of the meeting
Manage the schedule, travel, trips, and itineraries (both US based and travel outside the U.S.) of Managing Director
Learn the processes and tools of Kohler Co. and Kohler Ventures to optimize team efficiency
Facilitate the processing of department financial invoices, purchase orders, vendor registrations, and other procedural tasks that greatly improve the efficiency of the Kohler Ventures team
Build trusted relationships with other key leaders and executive assistants within Kohler Co. to enable effectiveness in role
Organize global team events, working sessions for Kohler Ventures
Execute special projects such as data analysis, deck preparation, as needed
Accept and ship packages via courier and USPS
Stock the breakroom with food and beverages
Ensure the Palo Alto office runs smoothly
