• We are looking for an Office Coordinator to join our Office and Administration Team, within the Human Resources department
• You will be our go-to office resource, coordinating in-office events for local and remote-based teams to collaborate in person
• The Office Coordinator will be responsible for keeping our office tidy, organized, well stocked, engaging, and running smoothly
• In addition to supporting our events and planning, you will also be responsible for organizing and ordering our company swag and office supplies
• This role may also be asked to assist with other calendaring or office administration tasks as needed
• Maintain a professional, organized, and welcoming office environment
• Keep supplies stocked, break areas tidy, and reservable spaces ready for use
• Track and process supply orders, coordinate deliveries, and ensure proper storage
• Oversee office maintenance, submit work orders, and coordinate service requests
• Communicate with the landlord and building management regarding maintenance and deliveries
• Manage vendor relationships for office services and research new vendors as needed
• Greet visitors and create employee ID badges
• Coordinate new hire welcome boxes, employee gifts, and team-building events
• Assist with planning and logistics for team onsite events
• Manage catering orders, event setup, and post-event cleanup
• Provide backup administrative assistance, including scheduling and calendar management
• Own the company swag program, handling inventory, vendor relations, and shipping
• Oversee mail processing, including virtual mail sorting and FedEx shipments
• Submit and reconcile expenses, ensuring accurate budget allocation
• Utilize office tools like Google Suite (Mail, Sheets/Excel, Docs), Slack, Navan, Airbase, ezCater, and Angus for efficiency
