Executive Assistant, Mach Industries

• Minimum of 5 years of experience in an Executive Assistant role, preferably in a startup or fast-paced environment
• Proficient in MS Office Suite or similar software
• Exceptional organizational and multitasking skills
• Strong written and verbal communication abilities
• High level of professionalism and discretion
• The ideal candidate will be a detail-oriented, self-starter who can adapt to a fast-changing environment
• Strong interpersonal skills, a proactive approach, and the ability to work independently are key traits for this role

• The Executive Assistant will play a critical role in managing administrative tasks, coordinating schedules, and ensuring the smooth and efficient operation of our executive offices
• Executive Communication: Drafting and editing correspondence, press releases, or presentations that may include technical jargon or industry-specific information
• Executive Calendar Management: Scheduling and coordinating meetings, briefings, and other events, often involving multiple stakeholders such as government officials and military personnel
• Confidentiality: Managing sensitive information related to defense contracts, proprietary technology, and national security
• Executive Travel Arrangements: Planning and booking travel, which might include special clearances or protocols due to the sensitive nature of the work
• Documentation: Ensuring that all necessary forms, licenses, and other documents are up to date and properly filed
• Time Management: Assist executives in prioritizing tasks, meeting deadlines, and maintaining a balanced workload
