Role
Who you are
- 2+ years of previous administration experience preferred
- Proficient in MS Office Suite (Word, PowerPoint, Excel, and Outlook)
- IT knowledge or disposition to learn
- You have strong verbal and written communication skills in English, additional languages are a plus
- You have strong organizational and time management skills, proactive nature
- You have a strong orientation to details, passion for hospitality, ability to treat people kindly and with respect
- You have experience supporting executive staff, ability to adopt to different cultures
- You have a proven relationship building skills, with internal clients and external service providers
- You have excellent organization skills and ability to prioritize and multitask in a face-paced environment
What the job involves
- We are looking to expand our team by hiring a new Office Administrator, a team player who is ready to make the role their own and bring their own ideas and innovations to the table
- Reporting to the Regional Office Manager, you will be supporting our Administration team
- Welcome visitors, employees, and providers in the front desk
- Manage phone calls and mail (e-mail, letters, packages etc.)
- Maintain office expenditure reports
- Serve as the point of contact for maintenance, mail, supplies, and equipment
- Manage inbound and outbound mail and shipping as directed
- Maintain a well-organized office environment and office operations, following procedures
- Maintain supplies inventory by checking stock to determine inventory level; anticipate needed supplies; place and expedite orders for supplies; verify receipt of supplies
- Event planning / management / support (social, company meetings, meet-ups, etc.) as directed
- Observe all health and safety requirements in the office, following procedures
- Assist other departments as required, anticipate the needs of others in order to ensure their seamless and positive experience
- This position is not remote, and it will require attendance in our Chicago office Monday to Friday from 8 am to 5pm
