Operations Manager, ExTrac

• You're an operations generalist who designs and builds systems that work. Whether it's maintaining ISO 27001 compliance, coordinating legal processes, or managing operational workflows, you don't just complete tasks—you create transparent, automated processes that make work repeatable and scalable. You're comfortable working autonomously across multiple areas and you're driven by turning manual work into reliable systems and infrastructure. You'll have:
• Information security or compliance experience, ideally including ISO 27001, GDPR, and similar frameworks — you don't need to be the expert, but you need to understand the work and keep it moving.
• Demonstrated experience coordinating operational or compliance programmes across multiple stakeholders, with evidence of driving tasks through to completion without dropping threads.
• Strong organisational and project coordination skills, with the ability to manage multiple concurrent workstreams across Finance, IT, governance, compliance, people, and commercial functions.
• Systems-design mindset—you instinctively build for reusability and scale, not one-off solutions.
• Process-minded with automation instincts—you naturally look for ways to systematise and scale repetitive work.
• Fluent with modern automation tools and AI augmentation—you evaluate where technology can eliminate manual work and implement accordingly.
• Quality obsessed—you don't just complete tasks; you build systems you'd trust yourself.

Desirable

• This role exists to maintain operational continuity across critical compliance, governance, and coordination functions as ExTrac scales. You'll be the connective tissue between Operations, IT, People, Legal, and Finance—ensuring that programmatic work doesn't fall through the gaps as senior leaders focus on strategic priorities.
• Your first 6 months will focus on designing transparent systems for managing ExTrac's compliance, security, and operational processes—creating infrastructure that captures information properly, enables learning, and scales through automation rather than headcount.
• Information Security & Compliance:
• Coordinate and execute on ExTrac's Information Security Management System (ISMS) requirements, including ISO 27001 compliance activities, audit preparation, and control implementation.
• Support incident management, risk assessments, and security documentation, working closely with IT and external auditors.
• Track and drive completion of compliance tasks across teams, escalating blockers and ensuring deadlines are met.
• Systems Design & Automation:
• Design and implement transparent systems for managing compliance, security, and operational processes—ensuring information is captured, accessible, and actionable.
• Automate repetitive workflows using modern tools and AI augmentation where appropriate.
• Build processes with scale in mind from day one, reducing manual touchpoints and creating audit trails.
• Operational Coordination & Internal Communications:
• Act as the operational glue between teams—coordinating cross-functional initiatives, tracking dependencies, and ensuring follow-through on key deliverables.
• Support operational reviews, ensuring documentation is current and accessible.
• Process Development & Automation:
• Identify opportunities to automate or streamline repetitive operational tasks across your areas of responsibility.
• Document processes clearly so work can scale beyond you.
• Build and maintain systems that create consistency and reduce manual effort.
