- You have 2-3 years of event coordination experience focused on logistical support
- Experience working with vendors and organizing shipping and delivery of event materials
- Familiarity with project management tools like Asana or similar software
- Proficiency with Google Sheets or Excel
- Strong organizational skills and attention to detail, with the ability to juggle multiple events simultaneously
- Excellent communication skills, with the ability to collaborate cross-functionally and manage relationships with external vendors
- Willingness to travel up to 40% to support events across various locations
What the job involves
- We’re looking for an Events Coordinator to join our winning team, which is revolutionizing the court reporting industry every single day. We’re a diverse team from all over the country (and beyond) and we’re crazy about redefining the boundaries of an outdated industry
- In this role, you’ll support the execution of events, ensuring smooth operations before, during, and after each one and that all the behind-the-scenes details are handled flawlessly
- Oversee event logistics by managing material shipments, maintaining tracking systems, creating return procedures/labels for sales teams, and coordinating with vendors to ensure seamless execution
- Evaluate and fulfill event requirements for technology, swag, print materials, and displays, placing orders that align with operational constraints and budget parameters
- Work closely with external vendors and organizers to ensure timely delivery and condition of event materials, regularly tracking shipments and liaising between different teams
- Update event briefs with set-up and return instructions and other relevant event information
- Provide on-site or remote event support, ensuring timely delivery and setup while providing troubleshooting support where necessary
- Perform a clean reconciliation of event details, including uploading expenses, leads, and lists from events
- Track progress against event timelines and milestones, ensuring all pre- and post-event tasks are completed on schedule
- Work with the sales, marketing, and operations teams to ensure all event goals are met and information is accurately communicated
