Administrative Assistant, Coda

• As an Administrative Assistant, you'll deliver seamless, high level support to senior leaders in a dynamic, fast-moving environment
• We’re seeking a highly organized and proactive individual to support our executive and leadership team
• Reporting to the Senior Executive Assistant in the CEO’s Office, you will play a key role in managing schedules, coordinating meetings, and ensuring smooth day-to-day operations particularly for our Executive Vice President, B2C, and Chief Commercial Officer based in Amsterdam
• Manage complex calendars and schedule meetings across multiple time zones, ensuring alignment with business priorities
• Manage scheduling requests, prioritizing meetings based on urgency and business needs for executive and leadership team members based in Europe and the UK
• Plan and coordinate international travel arrangements, itineraries, and accommodations for team members attending client meetings, conferences, and events
• Support in planning, coordinating and executing the logistics and scheduling of board and investor meetings, leadership and department offsites, and other key meetings. This includes agenda preparation and follow-ups
• Track key deadlines, deliverables, and follow-ups to ensure timely execution of initiatives
• Liaise with internal and external stakeholders, including clients, vendors, and partners, to facilitate seamless communication
