What the job involves
- The Subscription Project Manager will oversee the planning, coordination, and execution of subscription-related projects for Aroma360, Hotel Collection, Hotel Scents, and international markets
- This role ensures seamless cross-functional collaboration and the successful delivery of initiatives on time and within budget. Key responsibilities include managing Asana workflows, maintaining organized shared files, tracking progress, and fostering alignment between Marketing, Creative, Tech, Operations, and Retail teams
- Oversee Asana workflows, ensuring tasks, timelines, and priorities are clearly defined, updated, and tracked
- Facilitate follow-ups on outstanding tasks and ensure accountability to maintain momentum and meet deadlines
- Create and maintain a shared file system to streamline collaboration
- Ensure all teams have access to the most up-to-date project documents, assets, and deliverables
- Monitor project schedules and budgets to ensure deadlines and financial parameters are met
- Identify potential risks, delays, or budget overruns early and propose solutions to mitigate them
- Provide support such as data entry, documentation, and report preparation to ensure seamless project execution
- Serve as the central point of coordination between Marketing, Creative, Tech, Operations, and Retail teams
- Facilitate communication, resolve bottlenecks, and ensure alignment on subscription initiatives
- Continuously evaluate and improve project management processes and workflows to increase efficiency and reduce redundancies
- Generate and share regular updates, reports, and summaries on project timelines, budgets, and deliverables
- Keep stakeholders informed and aligned on progress and outcomes

As a full-service company, it has business clients such as the Ritz-Carlton, Ferrari and Atlantis Paradise Island, helping hospitality brands achieve the sensory experience they desire for their customers.
The company was smart to expand from purely retail. Although it still hosts an impressive range of home-use products such as diffusers, it has successfully combined this with sensory branding and marketing for high-end companies. In 2024, it launched Aroma360 Pro that operates in 30 countries and develops private-label scents for private and customer-facing businesses.
