Who you are
- 5+ years of administrative experience, ideally supporting Director- or VP-level leaders in a fast-paced environment
- Proficiency with Google Suite; familiarity with Concur, Workday, and Slack preferred
- Excellent organization, time management, and attention to detail
- Strong communication and interpersonal skills
- Professional, discreet, and reliable under pressure
- Comfortable working independently while remaining a strong team player
What the job involves
- As a member of our team, you will be shaping the future of cybersecurity
- This on-site role at our Headquarters in Santa Clara, CA will support the VP of Product Management (Network Security R&D) and an additional Senior Leader
- As an Executive Assistant, you will play a key role in ensuring day-to-day operations run smoothly, providing core administrative support aligned with organizational priorities
- The Executive Assistant will be responsible for executive administrative duties, aligning with company priorities
- Manage calendars, coordinate meetings, and proactively resolve scheduling conflicts
- Organize meeting logistics, prepare agendas, and capture action item
- Provide ad-hoc support to direct staff of supported leaders
- Coordinate domestic and international travel; process expense reports in a timely manner
- Assist with preparation of basic presentations and internal team communications
- Coordinate logistics for team events, such as offsites, recognition events, and meetings
- Support onboarding logistics for new hires (systems access, workspace setup, etc.)
- Maintain distribution lists and organizational charts
- Order supplies, catering, and team materials as needed
- Collaborate with other Executive Assistants and team members on special projects and communications
