- Our perfect candidate is proactive, extremely organized, thrives in a fast-paced environment, can problem solve under pressure and can build community while working across international time zones
- Have a Bachelor’s Degree, or equivalent work experience
- Have at least 5+ years experience supporting executives, client facing or finance industry a plus
- Experience independently managing executive-level calendars
- Ability to assess urgency of multiple competing requests and prioritize accordingly
- Resourceful and willing to find a way to get things done without an obvious answer laid out
- Strong communicator, both written and verbal, and a creative problem solver
- Proactive and self-directed with an ability to take direction
- Adept at collaborating with different personality types and leadership styles
- Ability to be on-call as needed, beyond standard business hours
- Google Slides or Powerpoint experience to refine & integrate existing presentations
What the job involves
- As an Office Manager/Executive Assistant, you’ll work closely with our Chief of Staff supervising the physical infrastructure/facilities and providing high-level administrative support to one or more executives within the organization
- You will be responsible for an array of administrative tasks, coordinating office operations and ensuring a well-maintained environment for employees and visitors
- Manage multiple executive calendars, determining the importance of requests and priorities accordingly to complete tasks in a timely manner and manage long-term view of calendars strategically to drive efficiency and understanding executives’ priorities
- Exercise strong analytical skills in a variety of time-sensitive, fast paced situations and independently handle issues that arise affecting or potentially affecting executives and the workplace
- Operate at a sophisticated level of independence, exercising discretion, judgment and independent initiative; handle time-sensitive matters that require concise problem-solving and confidentiality
- Arrange domestic and international travel arrangements, itineraries, and maintain expense reports on a timely basis
- Act as office manager to ensure that the facility is fully operational
- Build and maintain a productive relationship with onsite property management and vendors to support advantageous contracts
- Identify and implement space planning projects to improve workplace productivity and collaboration
- Act as a workplace point of contact, partnering with IT to coordinate workplace projects ranging from conference room modification to existing and new space construction
- Run employee programs in local office including food, snacks, catering and associated office needs
- Lead all aspects of events in respective office including but not limited to: location, menu, invitations, RSVP management, furniture
- Ensure measures are in place for after-hours, facilities-related emergencies and that plans and policies are followed as needed
- Promote workplace safety, environmental practices, waste reduction opportunities, sustainability, and energy conservation initiatives
